Overview

It is an exciting time to be joining our team of emergency care ward clerks who rotate in Acute Medical Unit, Same Day Emergency Care, Kennet & Loddon ward with great development and career opportunities. The 3 units work together providing medical assessment of patients requiring immediate investigations, stabilisation and treatment. It is busy with a fast turnover of patients. You will work very closely with the nurse in charge. We are looking for individuals who are enthusiastic, caring & compassionate, work well within a team. Rotation of posting around and be flexible to work in AMU/SDEC/Respiratory unit. The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.

We are looking for a Full Time ward clerk to work across our urgent care units (AMU/SDEC/Respiratory unit).

The hours can vary depending upon the allocated area but as the rota is published early, you can plan around the year. Prior experience as a ward clerk in the hospital would be beneficial. Strong communication skills are essential for this role. Public facing role so strong communication skills are essential. Handle telephone conversation effectively whilst maintaining confidentiality and professionalism. High standard of computer literacy. Knowledge of EPR system is essential. Supporting the ward with stocking up, maintaining a tidy and clean environment and help with stores ordering / unpacking.

Responsibilities
  • Report to duty punctually and prepare for the day\'s activities.
  • Support the ward team in planning and coordinating the day\'s inpatient schedule (admissions, discharges, transfers, investigations).
  • Ensure documentation is ready for ward rounds, MDT meetings, and other scheduled tasks.
  • Arrange and book outpatient follow-up appointments as directed by clinical staff.
  • Ensure appointment details are correctly recorded in the hospital system and communicated to patients and their families.
  • Operate hospital information systems efficiently, including: EPR (Electronic Patient Records), Microsoft Teams (for communication and virtual meetings), Microsoft Word & Excel (for documentation, data entry, and reporting).
  • Troubleshoot minor system issues or escalate to IT support when necessary.
  • Handle patient information with the utmost confidentiality, adhering to hospital policies and legal framework.
  • Ensure all patient files, records, and computer data are stored securely and accessed only by authorized personnel.
  • Monitor the use of administrative and clinical supplies on the ward.
  • Use office equipment and consumables (e.g., paper, printing materials) responsibly to minimize waste.
  • Report shortages or maintenance issues in a timely manner to the appropriate department.
  • Serve as the first point of contact for visitors, staff, and patients regarding non-clinical queries.
  • Liaise with multidisciplinary teams (nurses, doctors, allied health professionals, administrative staff) to ensure clear and effective communication.
  • Relay messages, update patient statuses, and follow through on ward-based tasks promptly.
  • Maintain accurate and up-to-date patient records.
  • File paperwork efficiently, ensuring accessibility for authorized staff.
  • Assist with scanning, copying, and archiving of documents in accordance with hospital policies.
  • Prepare patient notes and relevant documents for ward rounds or MDT meetings.
  • Assist with the administrative aspects of admissions, discharges, and transfers.
  • Follow infection control protocols when handling documents and equipment.
  • Report any health and safety concerns to the relevant manager immediately.
  • Undertake any additional clerical or administrative tasks as required by the ward manager or senior nurse.
  • Participate in training sessions to update knowledge and skills relevant to the role.
