Job summary

A venture capital firm in Greater London is seeking an Executive Assistant to support their senior Partner. The role involves managing calendars, inboxes, documents, and travel arrangements while providing comprehensive support to the team. Ideal candidates should have 3-6 years of experience, be highly organized, proactive, and possess excellent communication skills. The position is office-based for 4 days a week with 1 day working from home, making it essential for the candidate to thrive in a fast-paced environment.

Qualifications

  • 3-6 years of EA experience supporting senior-level executives.
  • Experience in fast-paced environments, preferably in finance or tech.
  • Ability to work autonomously while being a team player.

Responsibilities

  • Provide 1:1 support to the Partner and assist the team.
  • Manage inbox and calendar, including scheduling and coordination.
  • Proof-read sensitive and technical documentation.
  • Act as a point of contact among partners and external parties.
  • Manage documents and operations-related projects.
  • Oversee expense and credit card management.
  • Arrange end-to-end travel with time zone awareness.
  • Format communications for internal and external use.

Our client is a very successful, yet small, venture capital firm that supports tech founders on the journey to grow their business. They are a dynamic and passionate team that place really value on their EAs and their ability to proactively support their senior team and drive the business forward. It’s a fast-paced environment and a role that requires lots of juggling and prioritising. Duties include but are not limited to:

  • 1:1 support to the Partner with ad-hoc support to the team
  • Full inbox management to include drafting emails and formal correspondence
  • Full calendar management - scheduling meetings and ensuring perfect coordination and diary alignment amongst partners and their EAs.
  • Proof-reading sensitive and technical documentation
  • Acting as the main point of contact on behalf of the Partner among partners, investors and other external parties.
  • Management of data & documents as a key support to the business and the operations function
  • Management and responsibility of operations-related projects from inception to completion
  • Expense & Credit Card management
  • Travel management - end-to-end travel arrangingwith awareness of time zones
  • Communications - format information for internal and external communication – memos, emails, presentations, reports.
  • Light office-management duties contributing to a positive working environment

If you are someone who likes to be a team player whilst also work autonomously and play a pivotal role in the success of the business then this role could be for you! The ideal candidate will have 3-6 years EA experience supporting 1:1 at a senior level, have worked in small, fast paced business and be very self-motivated, proactive and have meticulous attention to detail. Strong verbal and written communications skills are key, and you must be tech savvy. Experience in finance, investment or a tech start up would be a preference but not a prerequisite. This role is office based 4 days per week with 1 day working from home.
