Centre Management Assistant

An opportunity has arisen for a highly organised Centre Management Assistant with exceptional customer service skills, to provide a welcoming, confident and professional approach. HPFT places great emphasis on providing the highest standard of customer service to our staff, visitors and internal and external stakeholders, so these skills will be an integral part of your personality.

You will provide a range of duties ensuring that the Colonnades Reception runs smoothly and efficiently. Applicants must demonstrate excellent IT skills and a good working knowledge of Microsoft Office applications as well as a willingness to learn. The Site is operational between the hours of 8:00am - 6:00pm, Monday to Friday and you will be required to work on a weekly shift rotation basis (8:00am - 4:00pm and 10:00am - 6:00pm).

If successful, you will be able to show your ability to work in a challenging and interesting environment and possess outstanding interpersonal and communication skills. You will need to have a professional manner and be computer literate. The role will be physically demanding therefore a strong emphasis will be on moving and handling to assist in setting up the Learning & Development Centre for the following working day. A uniform will be supplied.

Job responsibilities

The post holder will be required to provide a comprehensive, professional and effective Reception service for a busy customer facing education, learning and development facility. Key tasks include: Dealing with customer enquiries as they enter the building; Setting up rooms requiring manual handling skills; Taking telephone calls including for the Trust Helpline; Supporting the booking process; Arrangement of bookings using Microsoft Outlook or other software; Supporting the Site Manager with the management of the public areas of the building; Reporting and dealing with maintenance problems in the building; Management of the supply of stationery to staff within the building; Provision of administration support, as required via the Site Manager. The post holder is responsible for all incoming and outgoing mail via Royal Mail and the Trusts internal courier system. The postholder will be required to set up rooms to meet the needs of the training/meeting etc booked. This will involve manual handling. As the first point of contact the post holder must display a considerable degree of initiative, possess mature judgement and maintain a calm, friendly and efficient manner when dealing with staff, members of the public, service users and visitors. To assist with administrative support when required using a variety of Microsoft Office programmes including Word, Excel, Outlook and PowerPoint and to have a good working knowledge of office procedures. The post holder will be required to work independently using initiative and applying a high degree of confidentiality, to undertake non-routine duties without direct supervision and to work within broad procedural guidelines. To have a working understanding of a range of procedures and practices. To demonstrate a positive customer care approach and ensure that all visitors to the Colonnades and to Trust Head Office are dealt with promptly and in a professional manner; bearing in mind the need for confidentiality and the requirement to promote the Trusts corporate image and values. Qualifications
  • Good general education to GCSE standard or above
  • Advanced keyboard skills
  • NVQ Level 3 or equivalent, or willing to work to this qualification
  • RSA 2 or equivalent, or willing to work towards this qualification
Previous experience
  • Wide knowledge of office procedures including use of technology
  • Experience of working with the public
  • Evidence of ability to be flexible and show initiative, sensitivity and enthusiasm to work
  • Experience of working on a busy reception desk
  • Experience working in an office environment
  • Experience of high volume postage solutions i.e Royal Mail OBA system
  • Experience of the setting up of multi-media equipment
  • Proficient in the use of Microsoft Office software, in particular Outlook, Excel and Word
  • Proficient use of video conferencing software (i.e. Microsoft Teams) and hardware (Logitech Meetup)
