Anticoagulation Administrator

The closing date is 17 December 2025

We are looking for an Anticoagulation Administrator to support the organisation of anticoagulation clinics and the day‑to‑day smooth running of the service. You will receive referrals, handle complex anticoagulation queries and act as the initial contact point for service users and stakeholders.

Under the leadership and guidance of the Thrombosis and Anticoagulation Administration Manager, you will use your own judgement to determine when advice from senior colleagues is required. You will follow all department protocols, raise concerns and liaise with laboratory staff, clinicians, and external stakeholders.

The role requires you to work autonomously and, when necessary, in conjunction with the administrative team, clinical nurse specialists, Consultants and internal and external stakeholders.

Main duties of the job
  1. Act as a point of contact for patients, carers and telephone callers.
  2. Provide and receive complex and sensitive information such as personal medical information.
  3. Deal with enquiries from users, patients and other staff in a polite and helpful manner, seeking scientific staff advice where required.
  4. Liaise between laboratory staff and users of the service, and handle telephone enquiries in a pleasant and helpful manner.
  5. Work as part of a team and liaise with Medical Laboratory Assistants and Biomedical Scientists within the Haematology and Pathology Departments.
  6. Work alongside Trust colleagues to contribute to the Trust vision and corporate objectives, demonstrating respect, dignity and privacy of all staff and patients and acting with kindness and courtesy.
  7. Attend regular staff meetings to ensure effective communication of departmental standards and issues.
  8. Provide fast anticoagulation referral reviews, adding referrals to the DAWN database and CAREFLOW, and book clinic appointments where appropriate.
  9. Identify and problem‑solve service issues and report to the Administration Manager and/or Clinical Nurse Specialists as appropriate.
  10. Liaise closely with the Administration Manager, Service Lead and Clinical Nurse specialist team, highlighting any issues in a timely manner.

Ensure all clinical responsibilities are conducted in accordance with Trust policies and guidelines regarding infection control and prevention.

Contribute to a safe and therapeutic environment for all staff, patients, relatives, friends and visitors.

Answer the patient telephone line, including managing the answerphone system, dealing with complex anticoagulation queries, rebooking appointments as appropriate, and passing on advice from the Clinical Nurse Specialist when required.

Book patient clinic appointments using CAREFLOW, use the 4s DAWN Anticoagulation Dosing System, and accurately and timely enter patient data.

Upload relevant documentation into DAWN and Evolve to develop a paperless environment.

Person Specification
  • GCSE or equivalent in English Grade 4 (C) or above.
  • IT experience with Microsoft Word and Excel.
  • Experience working within a healthcare setting.
  • Knowledge of medical terminology.
  • Experience in administration and data analysis, including taking, recording and distributing minutes of meetings.
  • Excellent communication skills, both verbal and written in English.
  • Excellent interpersonal and engagement skills.
  • Good organisational skills and the ability to organise own work, manage time and work methodically.
  • Team player with the ability to work as part of a team.
  • Computer literate in all hospital IT systems, including Careflow, Bamboo, IPROC, Winpath.
  • NVQ Level 3 experience or equivalent.
