A leading freight forwarding company is seeking an experienced Air Freight Coordinator for their London Heathrow Office. The successful candidate will coordinate bookings, ensure compliance with international regulations, and maintain communication with clients and partners. Job description

Due to increased global growth, we are seeking an Air Freight Coordinator to join the Air Freight team at our London Heathrow Office based in Slough for ALPI UK Ltd.

Key Responsibilities
  • Co‑ordinate with network partners, UK clients and internal teams to arrange bookings from origin to destination, maintaining clear communication at all times.
  • Ensure all shipments adhere to international trade regulations, customs procedures and export control laws.
  • Apply basic INCOTERMS knowledge to mitigate risk and liabilities of each term.
  • Quote shipments prior to movement and apply agreed rates where necessary.
  • Build relationships with airlines for cargo bookings and rate negotiations.
  • Liaise with partners to reach out for quotes and rates.
  • Familiarity with various export documents and their purpose.
  • Ensure all air export jobs are completed correctly and in a timely manner.
  • Complete all customs declaration tasks accurately and on time.
  • Produce airway bill pre‑alerts, ensuring accuracy to avoid critical delays or penalties.
  • Monitor shipment progress from origin to destination, providing updates to destination partners.
  • Understand HMRC Volumes 1 & 3 of the UK trade tariff.
  • Report immediately to the line manager any amendments to customs declarations.
  • Use the operational system correctly at all times.
  • Assist other departments as and when required by the company.
  • Maintain regular communications with the network and sales team.
  • Propose new efficiencies in customer workflow.
  • Liaise with HMRC and maintain customs procedures.
  • Ensure all reports are completed as per provided deadline.
  • Follow SOPs completely and accurately.
  • Pass invoices from suppliers and providers within 48 hours of receipt.
  • Ensure insurance is charged correctly and claims are forwarded to the claims department immediately.
  • Provide support and holiday coverage for local staff when required.
Qualifications & Competencies
  • Minimum 3 years of experience in the Freight Forwarding sector.
  • Knowledge and experience of Import / Export multimodal business.
  • Knowledge and skills required for Air Freight sales and products.
  • Demonstrate quality communication skills with good presentation skills.
  • Proficient in Microsoft packages, especially MS Excel, with general PC knowledge.
  • Good understanding of logistics processes and procedures.
  • Must be able to prioritise and organise own workload with attention to detail.
  • Able to work independently and as part of a team.
  • Must be flexible with their working hours.
