We currently have an exciting opportunity for an Administrator that is looking for a new challenge to work in an organisation that will help you develop and achieve your goals to become the best you can be.

We are looking for an Administrative Assistant/Receptionist to join our Adult Mental Health Services situated in Severn Fields, Shrewsbury. The Service offers mental health care and treatment across a variety of different age ranges and presentation. You may already live in Shropshire or are considering relocation to an idyllic semi-rural location.

The post holder will be working as part of a team along with Medical and Clinical Administrators and other Administrative Assistants. The post holder will be expected to be able to use their own initiative and judgement, although they will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the community teams.

Main duties of the job

We are currently looking for an Administrative Assistant/Receptionist working 22.5 hours per week Wednesday - Friday, supporting the Adult Mental Health Services reception based in Shrewsbury. Our Administrative Assistants are an integral part of our Admin Team, and our clinical teams rely on our team to provide an efficient, effective service to support them in delivering the very best care to our patients. The administration offices are busy, and the role is challenging but it is also rewarding as you support this team and the Mental Health teams as a whole.

Job responsibilities
  • Utilise the patient administration system (RiO) on a daily basis keeping accurate records and booking of appointments.
  • Carry out administrative tasks such as photocopying, scanning, uploading documents, typing.
  • Type a range of documents including emailed requests, copy typing, and audio transcription (via Winscribe digital dictation system) generated by the mental health pathway teams.
  • Use a variety of electronic systems (MS Office, RiO, MICAD, E-Proc).
  • Manage and deal with calls from service users, families, carers, and other professionals.
  • Support the team in carrying out admin work requests via the centralised admin inbox.
  • Confidently handling queries of a challenging/sensitive nature.
  • Concise and accurate message taking.
  • Reception duties including meeting and greeting service users, carers, relatives and visitors, as requested by the Admin Team Leader.
  • Prioritise own workload and meet deadlines in order to meet the requirements of the post.
