Admin Assistant - Goods Receipting Team Member

Location: Ashford

Salary: £12.60 per hour

Contract Type: Temporary

Hours: Monday to Friday, 8:00am - 4:00pm (30-minute unpaid break)

Are you an organised and detail-oriented administrator with strong customer service skills? We have a fantastic opportunity to join our client's team.

This is a full-time temporary position based in Ashford, providing essential support to the procurement function and ensuring accurate and timely goods receipting on the Unit 4 Business World Purchase to Pay IT system.

What you'll be doing:
  • Goods receipting of all goods and services received across the Trust using the Business World Purchase to Pay system
  • Processing parcel delivery notes via the Procurement Portal
  • Responding to GRN requests received via the support email account
  • Attaching delivery notes and authorisation documents to purchase orders for audit purposes
  • Investigating and resolving purchase order and invoice-related queries
  • Acting as the first point of contact for all GRN-related enquiries
  • Liaising with suppliers to request Proof of Delivery (POD) when required
  • Supporting end users with GRN-related queries and training needs
  • Checking invoices and delivery notes against purchase orders to ensure accurate matches
  • Escalating unresolved issues to the GRN Team Supervisor
  • Assisting in maintaining compliance with Procurement Policy and Standing Financial Instructions (SFI/SO)
  • Providing excellent customer service throughout all interactions
What we're looking for:
  • Previous administrative experience
  • Strong attention to detail and accuracy
  • Excellent communication and customer service skills
  • Good IT skills, including experience with Microsoft Office
  • Ability to manage competing priorities and work to deadlines
  • Experience working in a procurement, invoicing, or finance environment is desirable
