Responsibilities
  • The post holder will work closely with the Administrator and be responsible for ensuring all communication is accurately and appropriately undertaken using methods and terminology appropriate to the needs of the service.
  • To answer and redirect all telephone calls coming into the CYP ADHD Service efficiently and appropriately.
  • The post holder will receive and welcome visitors to the clinic, including children, young people and their families who have been referred to the service.
  • To input into Paris (EPR) if required.
  • The post holder will be required to provide cover for colleagues during periods of leave, undertaking appropriate tasks as necessary. This may occasionally include type minutes of meetings and supporting clinicians with the preparation and distribution of confidential reports and correspondence.
  • Using judgement and initiative to ensure that calls, messages and/or queries are dealt with efficiently and timely.
  • The post holder will support the duty administration team by completing duty tasks on a daily basis. Such as attaching new information received and passing the information onto the relevant clinician.
  • The post holder will use knowledge, and experience to meet the needs of the teams by completing non‑routine tasks on a daily basis.
  • The post holder will update skills as necessary and attend mandatory training. The post holder will maintain the Clinic Teams' filing systems, including electronic filing systems, filing and retrieving records as required. This will include maintaining the archive system for patients and staff as required. To maintain filing systems including archive filing.
  • The post holder will use proficient internet skills to access, search and retrieve data relevant to team.
  • The post holder will be expected to work unsupervised, on a daily basis, prioritising own workload, using initiative as to what is routine and what is urgent.
  • The post holder will use agreed guidelines/procedures and developed knowledge/skills/qualifications when working autonomously and managing own work.
  • The post holder will participate in yearly appraisals with line manager.
  • The post holder will assist with the collection of statistical information and data such as ethnicity, school details, etc as and when required.

An exciting opportunity has arisen for a Full time Team Administrator to support the Children and Young People's ADHD service for South West Hertfordshire.

We are seeking an individual who has experience within an office environment and can communicate with compassion and professionalism to a wide range of individuals including service users and their families / carers and clinical colleagues. We are looking for a highly organised, efficient individual to provide an administrative service to the team. You will be able to demonstrate that you can work alone, prioritising and managing your own workload whilst maintaining a positive, professional and calm approach. You should have excellent IT skills, a good working knowledge of Microsoft Office Packages. This is a very busy role, and you will thrive under pressure, and have the drive and courage to solve problems. Your role will involve communicating with our service users so you should have highly developed communication skills. You will support your colleagues and the wider team at busy times. The post holder will be required to work with minimal supervision and will be the first point of call for service users, carers and other external providers contacting the Trust. It will be imperative that the Trusts' values are an inherent part of all they do.

Key Requirements
  • Good level of education/GCSE incl. English Language.
  • Good level of numeracy.
  • Good IT Skills.
  • NVQ II or equivalent, or willing to work towards this qualification, General knowledge of office procedures and an all‑round education, with interest in Health Service Issues.
  • Be proficient in the use of computerised systems especially Word & Excel to a level to enable the production of a high standard of finished work.
  • The ability to organise and prioritise own workload and to work under pressure and within agreed guidelines.
  • Excellent communication skills when dealing with patients, their relatives/carers and other outside.
  • Display the ability to exercise initiative, tact and judgement and be able to make decisions when required to do so.
