Job Description: Customer Service Representative

The Customer Service Representative handles advisory and commercial customer requests both reactively and proactively, in line with relevant guidelines. He/she ensures adequate and reliable customer administration to contribute to customer satisfaction and the achievement of the company's commercial targets.

Activities include accepting and processing incoming orders, answering questions, solving problems, and addressing customer complaints to guarantee customer satisfaction and maintain ongoing relationships.

The role is within the Customer Service department of an OpCo, which primarily manages orders and coordinates with customers regarding product delivery options and complaints. The customer base varies from independent clients and distributors to individual farmers and key account customers.

The complexity of the role depends on the product portfolio, diversity of formulations, and geographical scope of the OpCo.

At levels IV and V, the role may include team leadership responsibilities such as planning, coordinating, and supervising the activities within the Customer Service team to optimize daily operations and workload distribution.

Key Responsibilities:
  1. Sales and Sales Support
  2. Support and initiate follow-up actions by contacting customers to inform them about products, contributing to effective communication.
  3. Answer questions regarding product assortment, applications, pricing, and delivery times.
  4. Negotiate contracts with customers for renewals, ensuring alignment with company standards and maintaining relationships.
  1. Order Processing and Data Management
  2. Handle incoming orders to ensure timely and accurate delivery, monitor replenishments, and update order data in automated systems.
  3. Maintain up-to-date product data, including prices and relevant information, and introduce new products as needed.
  1. Customer Relationship Management
  2. Manage customer records and handle requests and orders per company policies to ensure effective service.
  3. Record and update customer information, contracts, requests, complaints, and signals accurately in relevant systems.
  4. Resolve customer problems and complaints within prescribed times, actively solving issues to maintain confidence.
  5. Support customers with common problems and inquiries, documenting issues and escalating complex cases.
  6. Monitor progress on escalated issues and keep customers informed.
  7. Identify and signal process bottlenecks and contribute to departmental improvements.

  2. Communicate solutions to clients, explain options, and inform managers of complex issues.
  3. Plan, coordinate, and supervise Customer Service team activities, considering applicable guidelines.
