Job Description

We are seeking a dedicated and detail-oriented Vendor Manager to join our team.

This role reports directly to the Director of Operations and is responsible for maintaining a scalable, high-quality global vendor pool that supports increasing project volumes across multiple languages and verticals.

The Vendor Manager will oversee the selection, testing, onboarding, and evaluation of new linguists, as well as the ongoing quality management of translation and localization vendors. The person in this role will identify opportunities to improve existing vendor management practices, optimize cost structures, maximize margins, and ensure that linguistic quality consistently meets our high standards.

Responsibilities
  • Recruit, interview, talent-source, select, and manage linguists and vendors to meet company needs.
  • Set up vendor agreements and manage all stages of the onboarding and qualification process.
  • Maintain strong vendor relationships and act as a primary point of contact for vendor-related communication.
  • Work with other departments to identify current and future vendor requirements.
  • Negotiate compensation packages with new and existing vendors.
  • Conduct regular quality audits, review test translations, and assess vendor performance.
  • Ensure vendor compliance with company standards, NDAs, confidentiality requirements, and data security guidelines.
  • Track vendor productivity, specialization, capacity, and availability to ensure optimal coverage for all languages.
  • Support production and sales teams with allocation planning based on time, cost, and quality metrics.
  • Manage backup and emergency vendor strategies for urgent and high-priority requests.
  • Liaise with the accounting department on invoicing and payment statuses.
  • Maintain accurate and up-to-date records in the Vendor Database, including certifications and qualification documents.
  • Compile monthly reports on recruitment progress, performance metrics, and optimization opportunities.
  • Collaborate with the Director of Operations to improve recruitment processes, enhance service quality, and support the training of new vendors.
  • Contribute to cost-optimization initiatives by analyzing vendor rates, market trends, and project profitability.
Job Requirements
  • At least four years of experience as a Vendor Manager in a translation, localization, or recruitment environment.
  • Degree in Linguistics, Business, Management, or a related field (preferred but not required).
  • Experience working with TMS / CAT tools (such as memoQ, Smartling, Smartcat, XTM, or similar).
  • Strong negotiation and communication skills.
  • Proficient in Microsoft Office.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong organizational skills and a systematic approach to task execution.
  • Self-motivated, proactive, and committed to delivering high-quality work.
  • Excellent interpersonal skills and the ability to collaborate effectively with cross-functional teams.
  • Knowledge of localization workflows, quality methodologies (including LQA), or ISO industry standards is considered an advantage.
