Your role

You will join the Courses & Workshops team as a Programme Officer. The Courses & Workshops Programme funds over 90 courses and conferences attracting more than 12,000 participants every year, making it the largest funder of life science meetings in Europe. EMBO Courses & Workshops are organised by leading scientists in their fields and enjoy excellent added value by providing financial support, assisting organisers with promotion, creating a website with a registration system and abstract submission facilities, and designing a poster.

Reporting to the Head of Courses & Workshops you will provide a range of technical and administrative support for the Programme.

Your main tasks will include
  • Liaising with organisers of EMBO Courses & Workshops to provide support including setting up websites, online registration systems, questionnaires and promotional materials and implementing front‑end web interfaces (design layout).
  • Monitoring externally created websites and liaising with platform providers and third parties on technical questions.
  • Designing posters and abstract book covers using organiser‑provided scientific images.
  • Distributing and evaluating questionnaires and managing promotional material stocks.
  • Collating statistical questionnaire and financial information and creating reports.
  • Supporting sustainable conferencing practices.
  • Assisting in the organization of internal meetings including documentation and logistics.
  • Providing general administrative support and team back‑up; reviewing documentation and guidelines; maintaining an archive of relevant documentation and assisting with related duties and additional tasks as required.
You have
  • Basic knowledge of databases (FileMaker Pro) and content management systems.
  • Basic to intermediate skills in InDesign and Photoshop.
  • Excellent command of standard office software packages (Microsoft Office suite).
  • Excellent written and oral English language skills.
  • Great attention to detail and high quality standards even when dealing with multiple tasks and deadlines simultaneously and under time pressure.
  • The ability to work both autonomously and as part of a team.
  • A customer and service‑oriented attitude and well‑developed communication and interpersonal skills.
You might have
  • Relevant administrative experience or an equivalent professional training certificate.
Contract length

12 months.

Starting salary: Grade 4 (Starting salary 3,705 € or higher depending on experience and qualifications).
