As a Guest Experience & Services Coordinator, you help uphold the world-class appearance of the Experience Center and ensure a seamless onsite experience for all customer engagements – including briefings, tours, events, summits and internal meetings. You work in an international environment where English is the predominant working and communication language. In this role, you support the Guest Experience & Services Lead in promoting and facilitating cross-departmental communication, ensuring the Center is always ready for Microsoft’s Executive-Level customers. You act as a key interface between Reception, Facility, Catering, Planning and internal and external vendors. Attention to detail, strong organizational skills and a service- and solution-oriented mindset are essential. Additionally, Guest Experience & Services Coordinator is responsible for supporting the safety of the EC.
Guest Experience & Services Coordinator (m/w/d) 32 hrs/week

The position is designed as part-time (up to 32 hrs/week) – a lower number of hours can be discussed.
- Completed business/administrative vocational training or a comparable qualification
- Experience in hospitality, reception or event/meeting organization is an advantage
- Willingness to work part-time on a shift basis covering early (from 7:30) and late hours (until 18:00), Monday to Friday
- Strong organizational and multitasking skills in a fast-paced environment, with a hands-on and service mindset
- Very good MS Office skills (Outlook, Word, Excel, PowerPoint) and openness to digital tools such as Copilot
- Business-fluent English (written and spoken; the predominant working language) as well as very good German; a third language is an advantage
- Confident interacting with business customers at all levels and in an international, culturally diverse environment
- Process-oriented yet flexible, self-motivated and proactive
- Prepare and support briefings, engagements, tours, events and internal meetings – including creating and printing table tents and QR codes, and ensuring correct room set-up and breakdown
- Morning room checks before customers arrive during the early working hours, and evening preparation of rooms for the next day during the later hours
- Close coordination with the operational teams (Guest Experience & Services with Reception, Facility/Caretaker, Culinary, Planning) to ensure Center and room readiness
- Coordination and communication with all stakeholders – including sharing relevant information in meetings and via Teams chats/channels to ensure continuous visibility
- Daily walkthroughs to monitor appearance and functionality (e.g. furniture, cleaning, plants, amenities) and timely follow-up on open items across early and late shifts
- Inventory and customer amenity management: monitor stock, reorder office and consumable supplies and maintain adequate supplies
- Process invoices and assist with shipping & receiving of packages on behalf of customers
- Maintain and organize key information and resources in company tools as well as Teams and SharePoint
- Support access and badge management
- Contribute to the development and implementation of operational processes and procedures to continuously improve the guest experience
- Build strong relationships with customers, Compass teams and internal/external vendors; escalated issues appropriately
- Support the Guest Experience & Services Lead with bigger projects, emergency situations and the maintenance of safety documentation
