Overview

Become MAXX with IronMaxx as an Executive Assistant (m/f/d) to support the CEO in managing both business and private projects at the highest level. Bring organizational talent, discretion, and priority-setting to add structure, efficiency, and calm to the day-to-day life of an international company. You act as a strategic and operational link—tracking decisions, clarifying priorities, and earning the trust of the executive management through absolute confidentiality, independence, and empathy.

Responsibilities
  • Provide both strategic and operational support to the CEO in day-to-day business activities
  • Independently organize and prioritize appointments, meetings, travel, and events
  • Manage priorities proactively and follow up on decisions to ensure implementation
  • Plan, prepare, and follow up on meetings; create decision papers, presentations, and reports
  • Communicate professionally with internal and external stakeholders—nationally and internationally
  • Prepare, handle, and manage confidential documents and contracts with the utmost discretion
  • Monitor deadlines and schedules while efficiently coordinating pending topics
  • Contribute to corporate communication projects, PR initiatives, and special executive projects
Real Estate Management & Project Coordination
  • Support the operational and administrative management of the company’s and CEO’s private real estate portfolio
  • Coordinate maintenance work, renovations, and repairs in collaboration with external service providers
  • Monitor lease agreements, payments, and utility cost statements
  • Maintain property records, contracts, and official documentation
  • Communicate with property managers, contractors, tenants, and authorities
  • Assist with investment, purchase, or sales projects in the real estate sector
Daily Coordination & Business Support
  • Plan and coordinate the CEO’s private appointments, events, and travel arrangements
  • Book flights, hotels, and transportation; prepare all relevant travel documentation
  • Ensure smooth day-to-day operations in both the professional and personal environment
  • Manage priorities and expectations in close daily communication with the CEO
  • Communicate empathetically and discreetly while coordinating business and personal matters
Your Skillset
  • Completed commercial training or a degree in business administration, ideally with a focus on office management, real estate management, or hospitality
  • Several years of professional experience (minimum 3 years) in a comparable role within an executive or management environment
  • Experience in organizing complex processes as well as in project or real estate management is an advantage
  • Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook) and modern project management tools (e.g. Asana)
  • Strong communication skills in both German and English; additional languages are a plus
  • Discreet, loyal, and reliable personality with a strong sense of responsibility
  • Structured and proactive way of working combined with a high level of quality awareness
  • Professional, confident demeanor and enthusiasm for a diverse range of tasks
  • Willingness to travel occasionally (e.g. for events or real estate projects)
  • Class B driver’s license

  • Proven experience in direct, trust-based collaboration with C-level executives or board members
