We are looking for an Executive Assistant (32‑40 hours/week) onsite at our Berlin HQ, 5 days per week.

This role reports directly to the CEO and supports them and the rest of the executive team. It is built for a dynamic, proactive Executive Assistant who keeps the leadership team focused on what matters most. You’ll drive organization and momentum across calendars, travel, meetings, and follow‑ups—ensuring every detail runs seamlessly. From powering board and investor meetings to orchestrating leadership off‑sites, you’ll bring structure, pace, and energy to a fast‑moving environment where priorities shift and impact is high.

What you will contribute:
  • Provide proactive, high‑level executive support to the CEO, CCO, and CFO, including calendar, travel, and meeting management.
  • Prepare and distribute meeting materials (briefings, agendas, background info) and ensure effective follow‑up on actions.
  • Coordinate domestic and international travel, including logistics and expense reconciliation.
  • Support the wider Leadership Team with scheduling, documentation, and communication priorities.
  • Ensure executive calendars and meetings align with business priorities and strategic goals.
  • Plan and execute senior leadership off‑sites and strategic sessions, managing logistics, materials, and follow‑ups.
  • Support investor and board meetings, handling last‑minute changes, logistics, and communication with board offices.
  • Partner with the workplace team on company‑wide events and celebrations.
  • Maintain focus on high‑impact priorities by setting clear boundaries and challenging unnecessary or low‑value requests.
  • Work with finance to ensure travel and scheduling decisions align with policy and budget.
What you bring:
  • 3+ years’ experience in a similar executive support role, ideally in a fast‑paced scale‑up.
  • Strong prioritisation skills and ability to manage multiple executives and competing demands.
  • Confidence in pushing back on low‑impact or off‑scope requests to maintain focus on strategic priorities.
  • High discretion and ability to manage confidential information.
  • Flexibility to occasionally support urgent matters outside of office hours or during weekends, recognising this is not regular.
  • Ability to prioritise and triage competing demands from multiple executives and the business.
  • Structured, detail‑oriented, and proactive with strong judgment and discretion.
  • Advanced experience with Google Workspace and calendar management.
  • Fluency in German (C1) and English (C2).
  • Availability of a minimum of 32 hours/week; presence required at HQ in Berlin.
