Job Description

The primary focus of this role is to create an Unforgettable Guest Experience in accordance with Mars Retail Group brand standards, creating a world where everyone feels they belong. The Associate & Operations Coordinator is responsible for consumer care, cash handling, all vendor relations, accurate timekeeping, scheduling, and training processes. They may also help support the recruitment, and onboarding for new Associates, as well as leading Loss Prevention initiatives and investigations. This role is responsible for role modelling, coaching others, and being compliant to all policies and procedures relating to operational and all food safety and quality requirements. STORE OPERATIONS
  • Adhere to all Standard Operating Procedures
  • Responsible for management of the cash office, including all accurate cash handling, and the maintenance of a neat and organized cash office
  • Lead the accurate and thorough administration of all Consumer Care needs and records
  • Take initiative to problem solve for facility issues prior to bringing in vendors
  • Vendor management, which may include responsibilities in pest control, as well as creating purchase orders, and following up with invoices and payments
  • Support all Loss Prevention strategies, including investigating inaccuracies or discrepancies and internal and external theft and fraud which leads to inaccurate inventory levels and sellable merchandise
  • Place timely and efficient orders for office supplies
  • Responsible for managing all non-vendor shipping needs
  • Responsible for maintaining access badges, and management of radios and headsets
  • Complete and deliver strategic schedules that are mutual to both the business and Associates needs to help ensure a healthy work life balance
  • Identify and track the training and cross-training needs and gaps of the business, followed up with maintaining all proper documentation
  • May lead, coordinate, and facilitate the onboarding, peer, and education programs
  • Responsible for all aspects of accurate timekeeping, including maintaining integrity and functionality of the time clocks and timekeeping system
  • Support leadership with requests from their direct reports
  • Responsible for informing leadership when re-joiners start to maintain training and quality standards
  • Identify issues and patterns within Associate attendance, flagging risks to the leadership team
  • Support presentation excellence to ensure all areas of the store are well prepared (neat clean, organized, operational and safe), allowing guests to shop with ease
  • Aid to ensure the reduction of waste across all areas of the store
  • Participate in auditing events to local and/or company standards
  • Drive Quality to achieve compliance in food regulation, local regulation, and auditing
GUEST EXPERIENCE
  • Champion a "Guest comes first" attitude through the power of fun, in an environment where everyone feels they belong, with a 'One for All and All for Fun' mentality
  • May act as the MOD, which includes, effectively driving guest experience, balancing guest flow throughout the building, multitasking, minimizing guest wait time at the registers, maintaining guest and Associate safety, and responding to guest and Associate queries
  • Use resourcefulness with product knowledge and category components, keeping displays/spaces occupied and shoppable for guests to experience and enjoy
  • Keep the store running smoothly from an operational perspective, and the highest standards, which allows guests to enjoy all experiences and areas without interruption
  • Teach the team to partner with the sales department for cash handling and consumer care requests
  • Maintain physical standards and appearance in store, through diagnosing and managing any facilities issues to create a safe and welcoming environment for customers
  • Keep the store running smoothly from an Associate scheduling perspective, which allows guests to enjoy all experiences and areas without interruption
  • Balance serving Guests while also completing operational tasks when on the sales floor
  • Provide onstage support for guests and store Associates when needed
PEOPLE LEADERSHIP
  • Support the development of a fun and inclusive environment where Associates feel comfortable being their true and authentic self at work, in a "fun kind" way to bring out the best in each other
  • Uphold direct conversations and feedback with peers and Associates
  • May lead Associates though being an effective Manager on Duty (MOD), to ensure achievement of all sales objectives and goals
  • Partner with store leadership to assess, evaluate, and train Associates to drive sales and operational objectives through engagement and productivity
  • Coach and provide feedback to Associates in various positions and relays back to the Manager's regarding Associate performance
  • Maintain confidentiality of guest, vendor, Associate, and leadership information

  • Store expert of the M&M'S brand, store products and experiences. This includes greeting and approaching all guests with a friendly and positive attitude
  • Adapt approach and demeanour in real time to match the shifting demands of different situations throughout the store
  • May be asked to support the brand with our classic characters in costume
  • Internally, advocating for equity, inclusion, and diversity, role modelling allyship
  • Externally, may relate the brand purpose, helping to enhance brand loyalty
  • Responsible for balancing solutions for consumer care needs and escalating when appropriate, ensuring Brand integrity at all times
BUSINESS RESULTS
  • Review sales and operational results against business objectives
  • May coordinate efforts for recruitment and Associate onboarding, supporting continual growth of the business
  • Monitor and take action on staffing levels in relation to trending business results, enabling a healthy labor payroll percentage
  • Actively works towards scheduling the right people in the right place at the right time to support the full store hitting all business metrics
  • Support outlined strategies and plans through effective communication, and consistent accountability
  • Responsible for upholding all Mars Retail Group policies and procedures, plus local regulation adherence, including attendance and timekeeping, food handling guidelines, Quality, loss prevention, and safety/emergency procedures
  • Maximise profitability to identify potential opportunities for growth
  • Monitor and communicates purchase order invoices against annual budgets
STAKEHOLDER MANAGEMENT + COMMUNICATION
  • Empowered to push back on all Associate levels requests to maintain outlined ways of working and policies
  • Responsible for meeting deadlines related to payroll, training, and scheduling
  • Collaborate with Retail Workforce Specialist to maintain the integrity of the scheduling and timekeeping system, processes & policies, and ways of working
  • Collaborate with others to address Associate payroll and health & wellbeing concerns
  • Aid in strengthening connections and consensus within the store team
  • Collaborate with and is the main point of contact between the store and vendors to ensure routine/non-routine visits with vendors are scheduled and all tasks are completed to the company's expectations
  • Act as the main point person for all consumer care needs by always providing exceptional communication and timely service. This includes responsibly taking orders, investigating complaints, and provide appropriate follow ups
  • Utilize data and consumer feedback to recommend changes to the leadership team in a timely manner
  • May collaborate with leadership to ensure all people practices, policies and procedures are fair and consistent
  • Integral role in a strong and influential Store Leadership team
