Position Summary
Provide support and assistance to Lambton County employees, Councillors and visitors who call or visit the Administration Building and Library Headquarters. Provide administrative support to the Financial Administration Services Department and the Procurement & Project Management Department.
Job Duties and Responsibilities
Switchboard Operator
- Answer telephone calls received at the Administration Building and redirect to proper County Departments and Library Headquarters
- Assist people making inquiries by answering questions or redirecting them
- Take messages for persons that are on location for meetings
- Maintain telephone list for the Administration Building and Library Headquarters
- Make public announcements
Reception
- Assist visitors, directing them to proper Departments, Committee Rooms, Council Chambers or another facility
- Ensure all visitors, whether staff or otherwise, sign‑in. Maintain visitor sign‑in records
- Advise employees when they have a visitor
- Stamp, date, time and sign all in‑coming courier packages received and ensure out‑going packages are accepted by the courier for delivery
- Record tenders received for Procurement & Project Management Department (PPM) by recording receipt date, time, and signing for package
- Activate the information display in the lobby
- Ensures that reception area is monitored 100% of time. Does not leave desk until and unless relieved by another designated County staff person
- Call Ultra Guard Security as necessary (i.e. fire - special duties if fire or fire drill)
- Alerts designated management staff should a disturbance or other disruptive event occur in the Lobby, public washrooms, outside the building main entrance, the staff lunchroom or Receiving Room
- Book use of the "407 transponder"
- Book Committee Rooms and Council Chambers using the Events Management Systems Software. Note and arrange for any special needs or requirements requested.
- Facilitate the delivery of requests and messages to employees and visitors attending meetings
- Act as a backup to the Maintenance Person for coverage when they are away. This can include unlocking meeting rooms, lobby and receiving room doors; providing coffee in meeting rooms; ensuring meeting rooms are cleaned following meetings.
Administrative Support
- Prepare and enter purchase orders and invoices as required for the Procurement and Project Management Department into Maximo
- Process orders for coffee and janitorial supplies for the County Administration Building; maintain inventory in financial system
- Gather data for special project submissions including working with Microsoft Excel spreadsheets and collating information for review
- Sort incoming mail for all Departments in the Administration Building
- Assist the Financial Administration Services Department with matching A/P payments to invoices for mailing
- Provide clerical support to all Departments in Finance, Facilities and Court Services by preparing forms, filing documents and organizing materials as required
- Organize and collate random number lists and information forms as requested
General
- Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribed
- Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysis
