Job Summary

The Property Services Liaison’s purpose is to carry out the property management services function of Crosslinks Housing & Support Services. LOFT’s Supportive Housing Services in York Region/South Simcoe provide a variety of supports to adults (18 years+), either within LOFT owned houses/buildings or through head lease arrangements with private landlords. Through a multidisciplinary team of case managers, residential support workers, and life enrichment workers, we offer a range of programming that meets the level of support needs or unique challenges of specific populations, including people living with complex mental health and/or addictions challenges, concurrent disorders, physical health comorbidities, chronic homelessness, and/or involvement in the criminal justice system. Our sites include independent cooperative living arrangements for those requiring drop‑in case management support, individual and shared accommodations, and staffed congregate settings for individuals needing daily support.

Responsibilities
  • Maintain an up‑to‑date system to receive all monthly payments from tenants, reconcile rents, review tenant history and arrears reports, process deposits into the bank, arrange refunds and collect rent arrears, and prepare reminder letters.
  • Lead liaison with LOFT’s paralegal regarding eviction forms in accordance with the Residential Tenancy Act, prepare documents, represent LOFT program at Landlord‑Tenant Board hearings as appropriate, prepare and distribute invoices to tenants for charges related to in‑ on payments, and prepare rent‑geared‑to‑income documentation and calculations in prescribed formats.
  • Build proactive relationships with landlords, conduct annual satisfaction reviews, liaise with head‑lease property owners, respond promptly to inquiries from tenants, landlords, contractors, or the public regarding maintenance/building issues, and investigate and resolve tenant conflicts or crises.
  • Develop and enforce procedures for regular property inspections per the RTA, maintain preventive maintenance tracking systems, arrange for and monitor contractor activities at LOFT owned or leased units.
  • Administer program records and statistics, draft and format correspondence, leases, and other materials, maintain filing systems, review and sign leases, issue keys, and provide urgent issues to the Director as needed.
  • Collaborate as a team member in program delivery, support colleagues, identify service gaps, participate in meetings and committees, clean common areas and tenant apartments as needed, and provide other related assistance.
  • Liaise with LOFT partner agency projects.
Qualifications
  • Post‑secondary degree completion.
  • Knowledge of housing project administration and property management practices acquired through post‑secondary education, experience and/or professional accreditation.
  • Leadership to ensure strong and up‑to‑date systems for this function.
  • Knowledge of the Residential Tenancy Act and Landlord‑Tenant Board processes, ability to represent LOFT as needed for legal matters related to the RTA.
  • Proficiency in computer software (Excel, Word) for spreadsheets, data input, and report generation.
  • Detail orientation and high accuracy in reconciling rental payments, maintaining records, and updating tracking systems.
  • Strong problem‑solving skills for property‑related/client crises.
  • Strong analytical, time‑management and organizational skills to meet deadlines and handle urgent situations.
  • Excellent interpersonal, verbal and written communication skills for responding to inquiries from tenants, staff, landlords, the public and support agencies.
  • Understanding of mental health issues and patience in addressing situations with affected adults.
  • Ability to work independently and within a team environment.
  • Required to have a valid driver’s licence and use of a car.
Work Environment
  • Employees may be exposed to second‑hand smoke.
  • Ability to walk up and down stairs, travel to different locations with own vehicle, outdoor travel in all weather, lift objects up to 50 lbs.
  • Physically able to perform demanding body mechanics (e.g., lifting).
