We are on the lookout for an enthusiastic Project Assistant to support our dynamic team in our GTA office. Come be part of the adventure!

Responsibilities
  • Assists Project Managers / Operations Assistant with tasks as assigned.
  • Ensure deliverables are accurately formatted and quality assurance forms have been completed by technical reviewers.
  • Drafting and submitting meeting minutes for approval to the group.
  • Coordinating and setup of meetings both internally and with clients as requested.
  • Issue letters, reports, transmittals, spreadsheets, appendices (maps, photographs) using Word, Excel & PowerPoint to clients as required by group protocols.
  • Communicating with clients and delegating requests to appropriate Group members.
  • Acting as a back up to the Operations Assistant during peak volume periods and as vacation coverage.
  • Creating and maintaining project numbers and project reporting in Vision.
  • Maintaining, coordinating and monitoring administrative activities of the Group as required.
  • Placing orders for office and field supplies based on group needs.
  • Maintaining and adhering to Pinchin’s Project Execution Procedure (PEP).
  • Planning and organizing social events for the team.
Qualifications
  • One (1) year Business Administration or Business Computer Course with at least two (2) years of experience in administrative functions.
  • A valid driver’s license with sufficient insurance, and access to a vehicle.
  • Must be able to read, comprehend and proof all written reports and correspondence.
  • Must have good spelling, grammar and punctuation.
  • Excellent organizational skills, accuracy and attention to detail required.
  • Multi-tasks in an efficient and calm manner.
  • Exhibits professionalism in dealing with internal and external clients. Exhibits good judgement and decision-making capabilities.
  • Ability to adapt to changing work environments.
