Project Assistant

Alberta Infrastructure, a department responsible for leading the development of the provincial Capital Plan (supporting key social programs, services and economic development), is seeking a Project Assistant.

Position type: Full time (36.25 hours per week).

Location: Calgary or Lethbridge – please indicate preferred location in your cover letter.

Classification: Administrative Support 5. Salary: $2,128.30 to $2,692.98 bi‑weekly ($55,548.00 - $70,286.00 per year).

Role Responsibilities

As a member of the project management team, the Project Assistant provides complex administrative services that are essential to the effective and efficient management of the area project portfolio. The role supports contract and financial administration for all phases of project management essential to project delivery, and assists the Project Manager with preparation of budgets, financial reports, and monitoring of expenditures.

  • Initiate and coordinate processes to ensure timely execution of correspondence critical to project management (e.g., letters of award, invitations, security clearances for contractors, consultants, subcontractors; interim and final acceptances; total completions; unsuccessful bid letters; Contract Approval Summaries; Contract Award Recommendations).
  • Request Project IDs from Property Management Corporate Services (PMCS) for tracking project costs in the Contract Management System (CMS), Building and Land Information Management Systems (BUMS), and Recommended Action Plan (RAP).
  • Review and interpret contract documents to verify validity of invoices and ensure contractors and consultants comply with terms and conditions referenced in agreements or specifications.
  • Develop, update and administer spreadsheets for multi‑year projects, including identifying TPC and cost elements applicable to current year forecasts.
  • Verify accuracy of all contract information in CMS prior to submitting to Finance for approval and ensure accurate reconciliation and reporting.
  • Close out contracts after completion of consultant services and construction warranty expiration, obtaining EO authority for release of unexpired contract funds as necessary.

Qualifications

Minimum recruitment standards outline the minimum education and experience required for appointment.

Required:

  • High school diploma plus three (3) years of administrative/financial related experience.

Assets:

  • Completion of accounting and/or business administration courses.
  • Knowledge of automated information and business productivity systems used to carry out responsibilities (e.g., Microsoft Office, CMS, BLIMS/RAP, ICAPS and IMAGIS).
