A municipal government in Northwestern Ontario is seeking a Payroll Clerk to manage payroll services, including data entry, audits, and communication with staff. The ideal candidate will have strong skills in word processing, spreadsheets, and automated payroll systems, along with a high level of communication and time management skills. This is a temporary position that may lead to permanent employment.

Qualifications

Job description
POSITION SUMMARY

Under the general supervision of the Manager – Financial and Administrative Services, is responsible for payroll services within the Community Services Department.

MAJOR RESPONSIBILITIES
  • Performs on-line data entry, produces reports, and participates in the correction of input data.
  • Processes staff reimbursements including mileage, tuition, boot allowance, medical & tool replacement.
  • Liaises with Human Resources, Division Managers, Supervisors and employees in regards to confidential payroll issues; researches and responds to inquiries as required.
  • Maintains and monitors employee files, absence quotas and leave entitlements and processes divisional paperwork as required.
  • Provides support to divisions regarding SAP functions including accurate completion of timesheets.
  • Processes and maintains training records for divisional employees in SAP as required.
  • Performs bi-weekly payroll audits and distributes paycheque information.
  • Verifies and calculates overtime and additional payments for accuracy, identifies errors and makes corrections as advised.
  • Gathers data, produces reports and statistical summaries and responds to inquiries as required.
  • Maintains up to date knowledge and understanding of relevant Collective Agreements.
  • Performs the duties of the Clerk Steno III/Receptionist during absences and breaks as needed.
  • Provides back up for the Facility Booking Coordinator and Child Care Accounting & Administrative Clerk during peak periods and absences.
  • Performs such other related duties as may be required.
QUALIFICATIONS

Education/Experience

  • Secondary school graduation; or
  • Equivalent combination of education and experience

Skills/Abilities

  • Must be at a basic skill level in word processing and an intermediate skill level in spreadsheet software and must possess on-line data entry skills
  • Must have a working knowledge of automated payroll systems
  • Must possess excellent communication skills and deal with customers in a tactful and courteous manner
  • Must have proven time management skills
CONDITIONS OF EMPLOYMENT
  • May be required to work statutory holidays to meet payroll deadlines
  • Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)

Should this temporary vacancy be filled by a regular full-time employee, seniority and benefits will continue in the normal manner and the regular employee will continue to maintain normal, full-time status for the duration of the appointment.
