PROFILE

Reporting to the Office Services Supervisor, the Office Services Clerk will be responsible for supporting Firm Office Services including document assembly, reception coverage, incoming/outgoing mail, and deliveries. The successful candidate is organized, detail-orientated, and dedicated to excellent external and internal client service.

This role will work from 9 am to 5 pm Monday to Friday each week with the willingness to work from 7:30 am to 3:30 pm to provide vacation coverage for the Hospitality Coordinator when required. Office Services supports event planning and will require overtime from time to time.

RESPONSIBILITIES
  • Provide support to all areas within Office Services and Hospitality including but not limited to photocopying and document assembly, mail distribution, sanitization, courier desk, and preparing boardrooms for client meetings and events;
  • Assist with office moves and provide general maintenance duties as required;
  • Set up meetings on our client floor ensuring all details including setup and catering align with our commitment to excellence;
  • Ensure excellence in food and beverage services including but not limited to opening the afterhours snack cupboard, restocking and cleaning up following late events and client meetings;
  • Assist with maintaining and cleaning café spaces on practice floors;
  • Work as part of a team to ensure timely response to requests, and excellent internal and external client service;
  • Other duties as assigned.
QUALIFICATIONS
  • A Highschool Diploma is required;
  • Administrative or Office Services experience in a professional services environment is an asset;
  • Excellent interpersonal, communication, and teamwork skills;
  • Strong commitment to professionalism, and taking care of client and firm needs in a courteous manner;
  • Demonstrated ability to work well independently, and in a team environment;
  • Ability to handle a varied and demanding workload with experience prioritizing and organizing workflow for efficiency;
  • Ability to work in a fast paced environment, moving throughout the firm and transporting materials on an ongoing basis. The ability to lift a maximum of 50 lbs is required;
  • Strong attention to detail with preference given for demonstrated experience with Microsoft Office Suite;
  • ProServe certification is preferred or willingness to be certified.
