As we continue to grow, we are looking for a skilled and dynamic Office Manager to join our team and contribute to the efficiency and success of our operations.

Position Overview

The Office Manager will oversee daily office operations, support C-suite executives, and ensure smooth coordination across all departments. This is a leadership role requiring experience in office management, executive support, HR, bookkeeping, and operational coordination.

Responsibilities
  • Oversight:
  • Track and manage employee timesheets to ensure accuracy and compliance
  • Ensure office policies and procedures are consistently followed
  • Oversee invoicing for projects and assist with financial documentation
  • Support HR activities, including recruitment, onboarding, and maintaining employee records
  • Utilize QuickBooks (or similar software) for bookkeeping tasks, expense tracking, and financial reporting
  • Reconcile financial records and assist in preparing operational budgets
  • Foster positive office culture, including coordinating events (birthdays, team outings, holidays)
  • Inventory & Procurement Management:
  • Manage office inventory and project resource procurement
  • Maintain vendor relationships to ensure efficiency and cost-effectiveness
  • Policy Implementation & Reporting:
  • Develop and implement internal office policies to optimize workflows
  • Prepare and present regular operational performance reports to leadership
Qualifications
  • University degree required (preferably in Business Administration, Management, or related fields)
  • Strong experience with QuickBooks or similar accounting software
  • HR experience, including recruitment and employee relations, is an asset
  • Prior experience as an Executive Assistant supporting C-suite leadership is preferred
  • Strong bookkeeping and basic accounting knowledge
  • Excellent organizational, analytical, and multitasking abilities
  • Strong leadership and communication skills
  • Proficiency in Microsoft Office Suite and general software literacy
