Overview

The ideal candidate will be in charge of the organization and efficiency of daily office operations. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

Office & Administrative Operations
  • Answer reception calls and manage the general office inbox.
  • Handle mail, courier coordination, and manage kitchen and office supply inventory.
  • Pay invoices monthly and coordinate with the finance team for processing.
  • Organize and coordinate social and fundraising events in the office.
Legal & Document Support
  • Coordinate document authentication / legalization with government and embassy contacts.
  • Support legal courier services, process serving, and court filings.
  • Must have experience with high-volume printing / binding.
Event, Travel & Meeting Coordination
  • Arrange travel bookings for Partners and Staff.
  • Organize internal events and webinars, working closely with IT for AV setup and tech support.
  • Book visitor offices and meeting rooms; coordinate occasional hotel arrangements.
Technology & Facility Support
  • Troubleshoot basic AV and tech issues in collaboration with the IT team.
  • Liaise with building management for facility-related matters.
