Overview
Support the administration of the pathways for patients diagnosed with cardiac conditions such as heart failure, aortopathy and inherited cardiac conditions. Triage patient emails and phone calls, and handle administrative enquiries. Ensure all patient and clinical information is available to make informed treatment decisions. Collate test results for MDT discussions and clinic appointments. Coordinate and book nurse clinic and telemedicine appointments. Record outcomes to reflect activity accurately. Support processes required for effective MDT meetings, including record keeping and onward referral. Support general administrative duties for the nurse specialist teams.

Job responsibilities

Main Duties and Responsibilities
- Monitor the specialist nurse shared email inboxes, handling administrative queries and highlighting urgent matters.
- Liaise with the waiting‑list coordinator about cancellations, postponements, and urgent upgrades, keeping nurse specialists updated.
- Communicate daily with staff across NHS and private health care organisations, including cardiac bookings, general managers, clinical directors, consultants, service managers, ward clerks and community teams.
- Notify the clinical team of any patient requiring clinical support.
- Ensure accurate recording and dissemination of patient information.
- Work with specialist nurses to improve data quality, produce audits of the MDT, roll out patient surveys, and collate information.
- Support clinical audit by entering data into clinical systems.
- Identify and address problem areas to reduce waiting times and organise meetings as needed.
- Support operational meetings administratively.
- Assist in induction and training of new clerical staff.
- Answer team calls, triage and collect relevant information, and deal with enquiries independently.
- Contact patients, where appropriate, to explain treatment pathways.
- Collate test results for MDT discussions and clinic appointments.
- Book nurse clinic and telemedicine appointments.
- Record outcomes accurately.
- Support MDT meetings with record keeping and onward referral.
- Responsible for missing outcomes on Careflow for specified clinics.
- Support general administrative duties for the specialist nursing teams.
Person Specification
- Experience in high‑level administration and data analysis through qualifications or practical experience.
- Experience working in the NHS or a large organisation, understanding complex structures.
- Excellent IT skills and ability to learn new systems quickly.
- Capability to work without close supervision, set deadlines and manage resources.
- Experience handling confidential information and adherence to Caldicott; proven customer‑care skills.
- Evidence of effective team working.
- Ability to manage own work without direct supervision.
- Knowledge of cardiac pathways from referral to final treatment and extraction of information from medical records.
- Knowledge of PAS and other hospital database systems.
- Experience with NHS and medical records.
- Understanding of cardiology terminology.
