Job description

Night Dispatcher: With a rich history of success, XTL is poised for even greater achievements in the years to come. As we continue to expand our operations, we seek a Night Dispatcher 4 On/ 4 Off who is self-motivated and shares our passion for growth.

Schedule: Hybrid Position: 4 On/ 4 Off - 1700-0500 (0030-0500 work from home). On-call component is required for this position.

Responsibilities
  • Driver Support: Ensure phones and satellite messages are answered promptly; manage productivity live using dispatch tools and maintain dispatch status; ensure planning meets service level requirement of +98%; respond to operational issues including equipment breakdowns, driver re-assignments, load delays or cancellations, overweight loads; monitor road and weather conditions and inform drivers of worsening conditions or road closures.
  • Trouble Shooting: Establish and implement a plan for loads that do not meet commitments, including communicating information to the customer and customer service; ensure proper type of equipment is assigned to customers and trailer bank commitments are not depleted; monitor yard checks, load security, heated load and inactive trailers and report to maintenance and/or terminal manager; relay information, obstacles and discrepancies to operations manager, operations, customer service, and/or other departments as needed; monitor hazardous time-sensitive maintenance flags and assign equipment accordingly.
  • Data Integrity: Preserve data integrity at all times and ensure actions are done accurately and in a timely manner (e.g., Deadheads, Switches, Check–Calls, error message corrections); place comments in orders updating load or driver status.
  • Planning: Apply dispatch rules according to hours of service, company programs, procedures and policies; plan all loads with priority to service and hours of service; ensure drivers have stated the shift at the appropriate time to ensure on-time service.
  • Customer Service: Enter orders received via fax, email, or phone when necessary; respond to after-hours needs of customers in a timely fashion; advise customers of any delays.
  • Other Responsibilities: Support and replace other planners as needed; enter and review driver payroll; flag anomalies to management; perform other duties as assigned by management.
  • Daily Tasks: Review emails for the day, note important tasks, moves, loads to watch; review daily Costco spreadsheet and seek clarification from planner if needed; follow up to ensure load information was clearly transmitted and confirmed with driver via text, phone, or satellite; pre-plan loads, backhaul, and special moves; create DH when possible; ensure trucks ignition is started as scheduled and report delays in nightly report for management; coordinate with drivers to maintain a flow of tractor in and out of the garage; monitor road and weather conditions and inform drivers of delays; manage and answer office phones in a timely fashion and handle issues from phone calls; monitor and process satellite messages in AS400 and keep up to date within 5 minutes; make road service calls when necessary and inform maintenance; use judgment to make the best financial/time-efficient decisions on breakdown issues; create an end-of-shift report containing shift issues and proposed fixes, email to team, and revisit with planner and supervisor the next day; address border issues proactively and seek supervisor input; be proactive about potential problems, delays, or complaints; pursue continual improvement and encourage constructive feedback; emphasize driver retention and respectful treatment of drivers.
Skills and Abilities
  • Must have 1-2 years of experience in transport or a related industry;
  • Good geographical knowledge;
  • Strong knowledge of AS400, Excel, Lotus Notes is considered an asset;
  • Exceptional interpersonal and communication skills;
  • Impeccable, detailed, and proactive phone and satellite habits;
  • Strong attention to detail and high accuracy;
  • Ability to multi-task, manage priorities, meet deadlines, work under pressure, and take on additional tasks;
