Junior Project Manager – Communications and Engagement

Location: WRHN

WRHN is implementing a Multi-Year Facilities Redevelopment Master Plan to facilitate building a regional system of care that will meet the growing needs of the local community, expected to grow to 1 Million by 2050, and provide care closer to home for decades to come. The Redevelopment Team works collaboratively across WRHN to plan, design, and implement all components of the plan, including a new hospital site in Waterloo, renovating and expanding an ambulatory and urgent care centre, expanding rehabilitation capacity, and maintaining a facility to continue delivering care until approximately 2035.

Position Summary

Reporting to the Director, Project Communications and Engagement, the Junior Project Manager will provide project management expertise and support in alignment with all associated communications and engagement plans for all aspects of the Multi-Year Facilities Redevelopment Master Plan. The role will coordinate with internal and external audiences to develop, implement, and evaluate communications and engagement initiatives to ensure they are delivered on schedule, well documented, and effectively implemented. The role acts as a key liaison between Redevelopment Team members and internal and external audiences and requires collaboration with WRHN’s Corporate Communications team and the WRHN Foundation’s communications team.

The Junior Project Manager Will Be Responsible To
  • Work with the Communications and Engagement Team to develop, implement, evaluate, and maintain robust project communications and engagement plans aligned with the Multi-Year Facilities Redevelopment Master Plan.
  • Plan and execute engagement activities to support internal and external stakeholders.
  • Manage all logistical requirements of engagement activities using standard templates.
  • Track engagement activities using the Redevelopment Team’s approved template.
  • Collaborate with community groups to identify project-specific engagement interests and preferred approaches.
  • Support the Redevelopment Project Patient Family Advisory Council.
  • Update and post engagement documentation to the Redevelopment Team’s SharePoint in designated folders.
  • Identify communications collateral to support engagement activities with the Director, Project Communications and Engagement.
  • Provide conceptual, writing, editing and graphical design support for communication and engagement materials; liaise with design and print vendors as required.
  • Work with multiple audiences on plans and products such as publications, websites, social media and events.
  • Develop meeting and presentation materials, including PowerPoint decks and briefing notes.
  • Create and update presentations, briefing notes, resources, and process flows with team members.
  • Ensure timely response and follow-up to internal and external inquiries.
  • In collaboration with the Director, develop interim and final project engagement reports to support Ministry of Health reporting requirements.
  • Engage with Corporate Communications and Foundation Communications and Marketing teams to pursue collaboration and integration opportunities.
  • Demonstrate strong consultation, facilitation, negotiation, problem solving and collaboration skills to gain timely consensus among stakeholders.
  • Maintain alignment with WRHN mission, values, and commitment to positive relationships with patients, families, visitors, staff and partners.
  • Foster a collaborative team environment and provide support to team members.
  • Demonstrate excellent organizational and time management skills.
  • Be a proactive self-starter, flexible and adaptable to changing needs, and capable of autonomous work in a dynamic environment.
  • Other duties as assigned by the Director.
Position Requirements
  • Undergraduate degree in Communications, Journalism, Marketing, Public Relations, or related field.
  • Proficiency with MS Office Suite; familiarity with MS Project, Visio, SharePoint, Adobe Creative Suite, Canva, website updates, and social media posting is preferred.
  • Minimum of 3 years of experience coordinating, implementing, and monitoring communications and engagement plans for projects with internal and external audiences; healthcare setting experience is an asset.
  • Strong writing skills with ability to adapt to different audiences.
  • High initiative and critical thinking; sophisticated influencing, communications and presentation skills.
  • Consultation, negotiation, and consensus-building abilities; ability to find positive solutions with various stakeholders.
  • Ability to maintain confidentiality at all times.
  • Excellent interpersonal, communication, and organizational skills; ability to manage complex, concurrent project activities and changing priorities.
  • Experience in a service hospital setting is an asset.
