Position Summary

The Administrative Assistant will be required to perform an array of administrative duties including secretarial and receptionist duties. Responsibilities include minute-taking, scheduling boardroom meetings, and invoicing (accounts payable/receivable). The Administrative Assistant is also accountable for assistance in accounting with record keeping for the parking lot. Other duties, relevant to the position, shall be assigned as required.

Job Duties
  • Provide administrative support to all departmental members and tenants and/or those attending meetings in Main Boardroom
  • Perform basic bookkeeping functions, keep records of incoming and outgoing payments, copying and filing, requesting and tracking invoices
  • Assist accounting department by completing and reviewing invoices, monthly payments and mail out payments
  • Review and prepare all documents, reports and other correspondence materials for the management team
  • Courteously receive and screen all in-bound calls, emails, and visitors
  • Review, evaluate and distribute all incoming and outgoing mail
  • Coordinate and maintain all boardroom bookings
  • Take and transcribe dictation notes and meeting minutes
  • Maintain a high level of confidentiality in all interactions
  • Research and assist with all Requests for Proposals (RFP)

  • Maintain and monitor office supply inventory levels and place orders as required
  • Maintain a professional image and demeanor with all employees, management, executives and visitors
  • Other duties relevant to the position assigned as required
Requirements
  • Secondary School Diploma required
  • Business Administration degree or diploma required
