Purpose

We are seeking a highly organized and technically inclined Project Engineering Coordinator to support our project execution team in Sudbury. This pivotal role will serve as the organizational backbone, ensuring smooth communication between the engineering disciplines, procurement, and site construction. The ideal candidate will combine strong administrative and document control expertise with an aptitude for understanding and tracking technical engineering deliverables.

Key Responsibilities

1. Technical Documentation & Engineering Support

  • Serve as the primary administrator for all engineering documents (drawings, specifications, technical reports, vendor data) and ensure strict adherence to document control procedures.
  • Manage and track the entire lifecycle of Requests for Information (RFIs) and Technical Queries (TQs), ensuring timely distribution to the relevant engineer and follow-up on responses.
  • Coordinate the review and approval process for Vendor Data Requirements List (VDRL) documents, tracking submissions to ensure alignment with the procurement and engineering schedule.
  • Assist the Senior Project Engineer with compiling data for technical reports, presentations, and project status updates.

2. Project Control and Scheduling Assistance

  • Support the Project Controls team by tracking the progress of engineering deliverables against the master schedule (e.g., drawing issuance dates, procurement milestones).
  • Process and track Change Notices related to technical scope adjustments, documenting the rationale and ensuring approvals are in place before implementation.
  • Assist in generating procurement requisitions and tracking the status of Purchase Orders (POs) for engineered equipment and materials.

3. Coordination and Communication

  • Coordinate and organize all technical project meetings (design reviews, inter-discipline coordination, vendor meetings), including preparing agendas and distributing detailed meeting minutes and action registers.
  • Maintain project directories and digital filing structures, ensuring technical documentation is easily accessible and correctly version-controlled.
  • Facilitate efficient information flow between the Project Manager, Engineering team, Procurement, and on-site Construction personnel.
Qualifications & Experience

Required:

  • Intermediate-level of experience in a Project Coordination, Technical Administration role within a project-based environment.
  • Post-secondary education (College Diploma or University Degree) in Engineering Technology, Drafting, Project Management, or Business Administration.
  • Proven proficiency with Electronic Document Management Systems (EDMS), SharePoint, or equivalent systems.
  • Strong command of Microsoft Office Suite, particularly Excel for tracking and reporting.
  • Demonstrated ability to understand engineering document types (P&IDs, General Arrangements, Specifications) and their sequence in a project lifecycle.

Desired Assets:

  • Experience in the Mining, Construction, or heavy industrial sector is highly preferred.
  • Familiarity with scheduling software (Primavera P6 or Microsoft Project) for tracking progress.
  • Knowledge of technical standards (e.g., ISO) and quality assurance processes.
  • Experience in a project environment in Northern Ontario.
