Reporting To: Documents & Records Lead

Description

Reporting to the Documents & Records Lead, the Information Specialist will perform document control tasks for our Integrated Management System and provide basic SharePoint administration support. This role ensures that controlled documents and records are properly maintained, accessible, and compliant with internal document and records management processes while supporting collaboration and knowledge sharing through SharePoint and Omega 365. The Specialist is a detail-oriented, independent, and proactive professional.

LOCATION

This is a 1 year contract role based in our Saskatoon, Saskatchewan office.

Key Responsibilities
  • Maintain and update controlled documents (procedures, work instructions, guidelines, forms, templates, etc.).
  • Ensure revision control, accuracy, and compliance with NexGen’s document management process.
  • Track document approvals, revisions, and publication.
  • Provide guidance and support to Omega 365 users for effective document life cycle management.
  • Create and support electronic forms (JotForm) in accordance with NexGen standards.
  • Assist in and maintain SharePoint sites, libraries, metadata, and lists.
  • Provide basic SharePoint configuration troubleshooting and user support.
  • Assist in migrating files from various sources to SharePoint.
  • Provide guidance on document management and SharePoint best practices.
  • Maintain quick reference guides and/or provide orientation to Omega 365 and SharePoint.
Skills, Knowledge and Expertise
  • Preferred diploma in Library Science, Information Management, or related field.
  • 1–3 years in document control, records management, or SharePoint administration.
  • Proficient in Microsoft Office Suite. Including:
    • Microsoft SharePoint – proficient in managing collaborative websites, workflows, lists, groups, and other features.
    • Microsoft Excel – basic skills in data tracking, reporting, and analysis.
    • Microsoft Teams – effective use for communication, meetings, and collaboration.
  • Understanding of SharePoint site configuration and library management.
  • Experience with electronic document management systems (EDMS) such as SharePoint, Omega 365, OpenText, etc.
  • Experience with metadata management and application.
  • Experience with electronic form creation software such as JotForm, SiteDocs, Nintex, etc.
  • Strong attention to detail and organizational skills.
  • Ability to work independently and collaboratively.
