Job description
Main Tasks and Responsibilities
  • Provide day-to-day administrative support to ensure the smooth running of HR and office operations.
  • Assist with onboarding and orientation for new hires, including preparing welcome materials, coordinating IT setup, and reviewing policies.
  • Support with staff scheduling, time-off tracking, and maintaining accurate employee records.
  • Help coordinate and prepare documentation for performance reviews and employee check-ins.
  • Assist managers with routine employee relations matters.
  • Maintain and update HR files, personnel records, and internal databases.
  • Coordinate office supplies, equipment maintenance, and liaise with vendors or building management as needed.
  • Ensure confidentiality and professionalism when handling sensitive employee information.
  • Support payroll processes by gathering timesheets, benefits information, and forwarding data to payroll providers.
  • Help maintain a positive and professional office environment in line with the firm’s values and policies.
  • Perform general office administration duties such as filing, scanning, and mail handling.
  • Other duties as assigned.
Experience
  • 2-4 years of experience in a HR support or office administration role, preferably within a professional services or legal environment.
  • Personal injury experience.
  • Excellent time management skills and organizational skills and the ability to work independently.
  • Empathetic with an effective ability to build rapport with clients and team members.
  • Strong skills at setting and enforcing clear and fair boundaries with work expectations.
  • Excellent accuracy and the ability to exercise initiative and good judgment.
  • Flexible and adaptable to changing work demands, volumes and schedules based on the litigation schedule.
