Overview

Salary : $50,000 / year

Dermalogica is looking for a Front Desk & Student Coordinator who will support and assist our Montreal Retail and Education teams. As the first point of contact, the Front Desk coordinator plays a vital role in delivering a welcoming, professional, and seamless experience for clients. This position combines customer service, administrative support, and retail responsibilities to ensure the smooth day-to-day operation of the skincare retail environment and our Education student experience.

What Youll Do

Client Experience
  • Greet clients warmly and ensure a professional, personalized, and friendly atmosphere
  • Check clients in / out efficiently and accurately
  • Answer phone calls and respond to emails and inquiries in a timely, professional manner
  • Offer refreshments and ensure clients feel comfortable while waiting
  • Manage client flow to ensure timely service and minimal wait times
Appointment Scheduling & Coordination
  • Manage POS booking software (Booker)
  • Schedule, reschedule, or cancel appointments with accuracy
  • Handle follow-ups for no-shows or cancellations
  • Coordinate with skin therapists to ensure schedule alignment
Student Registrar
  • Ensure student numbers are monitored and report with a consistent focus on meeting targets
  • Proactively promote classes via the phone and direct student contact
  • Be responsible for weekly & monthly student number analysis reports
  • Identify trends affecting student attendance and implement marketing strategies to promote classes
  • Update class booking system and department online website
  • Assist with coordinating the distribution of class calendars
Retail Sales Support
  • Educate clients about skincare products and recommend purchases
  • Process retail transactions and maintain up-to-date knowledge of promotions, loyalty programs, and memberships
  • Process payments, issue receipts, and handle gift card sales
  • Balance cash, and manage the daily deposit
  • Maintain retail displays : cleanliness, organization, and restocking
  • Support inventory with management
Facility Maintenance
  • Ensure front desk and reception area are clean, organized, and fully stocked
  • Monitor cleanliness of waiting areas and treatment rooms as needed and report any maintenance
Key Skills & Requirements
  • Marketing experience (an advantage)
  • Skin Therapy qualification and industry experience (preferred)
  • Strong communication skills, written and verbal
  • Superior multi-tasking skills
  • Fluently bilingual French / English is a must
  • Knowledge of Windows 365, spa booking software and POS systems
  • Detail-oriented with excellent organizational skills
  • Ability to multitask in a fast-paced environment
  • Passion for skincare, wellness, and customer service
  • Exceptional analytical and problem-solving skills
  • The ability to be proactive and use initiative
  • Dynamic, friendly and outgoing personality, with a high level of communication skills
  • Demonstrated ability to work as part of a team as well as being self-motivated and able to work unsupervised
  • Flexible scheduling availability (including evenings / weekends) a must
