Floor Coordinator

Ricoh is currently looking for a career‑oriented individual to coordinate with outside contractors and in‑house services performing tasks related to the maintenance and operation of building grounds. The Floor Coordinator will perform various duties to support building and division daily operations such as office services including mail, courier, duplication and security.

RESPONSIBILITIES
  • Schedule and assign work requests for outside contractors and in‑house services, and oversee completion of assigned projects and services (i.e., electrical, voice/data cab, plumbing, waste disposal, recycling, repairs, painting, carpet cleaning).
  • Administrative support for training on alarm system activation/deactivation for new hires.
  • Maintain a database of service vendors, contracts and invoices paid.
  • Ensure janitorial services meet quality standards.
  • Liaise with building security company to ensure reliability of the building alarm system.
  • May be required to attend to security alarms after hours.
  • Issue, activate and deactivate swipe cards as necessary.
  • Report building maintenance issues (i.e., plumbing, electrical) to the Maintenance Department.
  • Monitor the use of kitchen supplies and maintain kitchen equipment/appliances.
  • Respond to a variety of client requests: cut office/cabinet keys, hang cabinets, order beverages for meetings, etc.
  • Coordinate office moves and review and change floor plans. Work with applicable vendors to manage office moves and order of furniture.
  • Coordinate small construction projects (i.e., conversion of conference room to office).
  • Respond to requests from the Division to order new office furniture, repairs and modifications of existing furniture. Coordinate office space reconfiguration. Maintain and inventory used office furniture for the Division, making it available for other use.
  • Design, develop and document processes and procedures specific to support client environment.
  • Monthly SLA and metric reporting.
  • Deliver agreed levels of service (as defined in customer SLA).
QUALIFICATIONS
  • Industry related training.
  • Post‑secondary diploma is required.
  • Minimum 2 years of experience in roles with similar responsibility, scope and skills.
  • Previous service, support, technical or operational experience with customers.
SKILLS
  • Excellent interpersonal skills with the ability to quickly develop business relationships.
  • Strong self‑motivation to drive results.
  • Excellent communication skills both verbal and written.
  • Effective use of Microsoft Office.
  • Ability to lift 30+ lbs. as necessary.
  • Valid driver’s license.
