POSITION MANDATE

This role is far more than administrative support—it is a strategic partnership with the CEO. The Executive Assistant will anticipate needs, manage priorities, and maintain the flow of information that keeps our organization aligned and moving forward. From overseeing executive administration and preparing for Board and AGM governance requirements, to safeguarding corporate data and coordinating across departments, this role has a direct impact on how TPS operates and grows.

REPRESENTATIVE DUTIES
Executive Support & Administration
  • Manage CEO’s calendar, priorities, meetings, and travel with accuracy and discretion.
  • Prepare agendas, briefing materials, presentations, and follow-up documentation.
  • Draft, review, and proofread correspondence and reports.
Corporate Governance
  • Support the preparation and coordination of Board of Directors meetings, AGMs, and other governance-related requirements.
  • Record, prepare, and maintain Board Meeting minutes and ensure accurate documentation.
  • Manage corporate records, filings, and data management systems.
Strategic & Operational Support
  • Assist in coordinating strategic initiatives, annual planning cycles, and cross-functional projects.
  • Provide research, analysis, and data synthesis to support CEO decision-making.
  • Track KPIs and compile executive dashboards and reports.
Finance & Organizational Management
  • Review budgets, financial reports, and strategic proposals alongside CEO.
  • Liaise with Finance and department leaders for timely and accurate submissions.
Stakeholder & Relationship Management
  • Act as a primary liaison between CEO and internal/external stakeholders, including Board members, community partners, and senior leaders.
  • Ensure clear, professional communication and coordination across the organization.
Confidentiality & Data Security
  • Handle sensitive information with the highest degree of discretion.
  • Ensure compliance with privacy, security, and corporate governance standards.
Required Skills & Competencies
  • Advanced Microsoft Office Suite proficiency; comfortable with modern collaboration tools.
  • Strong business acumen with understanding of finance, operations, and governance.
  • Exceptional organizational skills, attention to detail, and ability to manage competing priorities.
  • Excellent written, verbal, and interpersonal communication skills.
  • Critical thinker with proactive problem-solving approach.
  • Demonstrated ability to manage confidential and sensitive matters with discretion.
EDUCATION AND EXPERIENCE
  • 6–10 years’ experience supporting executives or senior leaders in a fast-paced environment.
  • Post-secondary education in Business Administration, Communications, or related field preferred; equivalent professional experience or diploma programs also valued.
  • Similar industry experience will be an asset
  • Proven track record supporting Board governance, corporate data management, and executive-level communications.
ACCOUNTABILITIES
  • Manage the CEO’s calendar, priorities, meetings, travel, and related logistics with discretion.
  • Prepare agendas, briefing materials, presentations, correspondence, and follow-up documentation.
  • Coordinate Board and governance requirements, including AGMs, minutes, and corporate records.
  • Support strategic initiatives, annual planning, and cross-functional projects through research, analysis, and KPI tracking.
  • Review budgets, financial reports, and proposals in collaboration with the CEO and Finance leaders.
  • Act as liaison with Board members, senior leaders, and external stakeholders to ensure clear, professional communication.
  • Handle sensitive information and corporate data with the highest standards of confidentiality and compliance.
JOB SCOPE
  • This role provides high-level executive support to the CEO, ensuring seamless management of priorities, meetings, and organizational initiatives. It is accountable for coordinating governance requirements, supporting strategic and financial decision-making, and serving as a trusted liaison with the Board, senior leaders, and key stakeholders. The position requires handling sensitive information with discretion, maintaining accurate corporate records, and driving operational effectiveness through research, analysis, and clear communication.
