Full Time Support Group Staff

Atlantic, Ontario, or Manitoba – CA (Work from home)

Pinchin is recruiting for a Compliance Specialist to join the Finance & Administration department in Canada. This role is fully remote or hybrid based from Atlantic, Ontario, or Manitoba. The Compliance Specialist will provide backup support to our Security Clearances team and perform additional ad‑hoc duties as needed.

Who We’re Looking For
  • Good understanding of insurance and risk mitigation or strong problem‑solving skills with the ability to learn about insurance.
  • Demonstrates good judgment and critical thinking when investigating and solving problems.
  • Works independently with acceptable supervision.
  • Excellent interpersonal skills.
  • Post‑secondary education with a minimum of 5 years’ experience in administration is preferred.
  • Proficient with the Office suite of products.
  • Must be able to obtain a PWGSC Secret (Level II) Security Clearance (no criminal record, Canadian resident for at least 5 years).
  • Must be able to complete and maintain certification in the PSPC Controlled Goods Designated Official Certification Program.
  • Demonstrates confidentiality and professionalism.
Responsibilities
Vendor Onboarding
  • Respond to all requests for vendor onboarding and evaluate vendor submissions to ensure they meet Pinchin’s requirements.
  • Enter vendor setups in Vision and maintain accurate records.
  • Liaise with Accounts Payable during payment cycles.
  • Follow guidelines and seek exception reviews from the risk team; correspond with executive-level employees regularly.
  • Track WSIB and WCB for all vendors with each province’s online database and update Vision for vendors out of compliance.
  • Analyze and verify consistency, completeness, and accuracy of vendor and insurance data.
Client Onboarding
  • Ensure all client requests are handled accurately and efficiently within acceptable turnaround times.
  • Serve as point of contact and compile information to complete annual prequalification documentation for clients.
  • Interact with potential clients to gather information required to set them up in SharePoint (Client Grove) and Vision.
  • Review client-provided information against Pinchin’s established engagement criteria, such as retainer policies.
  • Maintain the ‘Client Grove’ SharePoint client database.
  • Proactively identify opportunities to enhance, streamline, and automate the client engagement process.
  • Liaise with Accounts Payable, Safety, IT, Security, and other departments to gather necessary information.
  • Respond to client requests in a professional and timely manner.
Insurance
  • Understand RFP/Tender documents and prepare insurance certificates per Pinchin client requirements; liaise with our Insurance Broker for complex requests.
  • Prepare WSIB and WCB Clearance Letters upon request.
Security Clearances
  • Assist the Security Clearances Team with the maintenance of employee and organization security clearances and ensure compliance with Company, Government, and Client requirements.
