This is a newly created role to absorb workload as our team grows and changes. We are seeking a highly motivated individual to come in as an assistant Owners Corporation Manager to provide support to the OCMs and take on a small portfolio of their own. Our intention is to grow this person into an OCM as they gain more experience.

Purpose

The Associate Owners Corporation Manager assists two to three Owners Corporation Managers by helping with daily admin and coordination. They help make sure common areas of properties are looked after properly and comply with Owners Corporation requirements.

Responsibilities
  • Assist a team of Owners Corporation Managers on a day-to-day basis.
  • Compile and distribute information such as notices of meetings, agendas and minutes.
  • Update ownership records following AGMs to ensure new data collected on attendance records is included in management software.
  • At the direction of any of the OC Managers within the department, prepare and issue Notification of Breach of Owners Corporation rules in an efficient and timely manner.
  • Prepare Meetings Kits which include Proxies, Apologies, Committee Nominations and attendance record sheet.
  • Preparation of annual budgets for Owners Corporations and instigate or review the long-term maintenance forecast and the associated funds for the property. Approve accounts for the Owners Corporation and review financial statements at all quarterly committee meetings.
Key Selection Criteria
  • Demonstrated experience in an Assistant OCM/Strata administrative role is preferred but will consider existing admin experience.
  • An aspiration to take on the role of an Owners Corporation Manager.
  • High level of accuracy, demonstrate initiative and problem solving skills.
  • Excellent communication skills, both written and verbal.
  • Flexibility, time management skills and the ability to work with minimum supervision.
  • This position requires you to have a Drivers Licence and vehicle allowing you to travel between sites and complexes.
  • The Junior Owners Corporation Manager will be required to attend meetings such as Owners Corporation Meetings and appointments which are regularly held outside of standard working hours.
