Overview

Administrative Assistant
Legal Services, Corporate Finance

Are you a highly skilled Administrative Assistant looking to provide support to a collaborative group of professionals? We are looking for an Administrative Assistant who would enjoy significant responsibility including assisting with the preparation and formatting of legal documents in a busy Legal Services department. You will work with about twelve professionals on a daily basis, assisting with schedule management, database management and the formulation and maintenance of departmental policies and procedures. The successful candidate will also assist with the preparation of correspondence, arranging meetings and travel, and responding to internal and external inquiries. The Administrative Assistant reports to the Manager, CF Legal Services.

Key responsibilities
  • Providing administrative support that respects confidentiality and ensures that administrative matters are organized and dealt with in a professional manner
  • Preparing and formatting of legal documents and presentation materials; sending documents to external parties; posting documents on internal and external specified websites and systems
  • Proofing and publishing legal materials
  • Schedule management, including arranging and coordinating hosting internal and external meetings, and travel and managing expense claims
  • Formulating and maintaining departmental policies and procedures
  • Ensuring that information received from Commission executive and outside sources is distributed to staff
  • Working with legal staff to coordinate communications about exemptive relief applications
  • Becoming an expert resource to Legal Services staff about the Commission’s document management systems as they apply to Legal Services
  • Advising staff about the commission’s administrative processes, and other matters pertaining to the Legal Services and other branches of Corporate Finance
  • Acting as a back-up for other administrative staff in Corporate Finance
  • Responding to external inquiries from a variety of stakeholders
Qualifications
  • Secondary School graduation and a minimum of four years’ administrative assistant experience, or an equivalent combination of education and experience
  • Excellent Office 365 skills including experience with word processing, spreadsheets and PowerPoint
  • Ability to optimize departmental effectiveness by applying excellent time management skills and good judgement to prioritize and complete work assignments
  • Ability to communicate effectively both verbally and in writing
  • Collaborative team player with excellent interpersonal and customer service skills

Legal secretarial experience and/or education is an asset.

Salary Range

$54,153 (minimum) - $63,710 (midpoint) - $73,267 (maximum)

The starting salary for this position will be determined considering the successful candidate’s relevant experience and education, salaries of other employees in the same salary range, market conditions and other relevant factors. Starting salaries are normally below the salary band midpoint.
