Job description

Relevant to the Vice-President of Marketing, the Executive Assistant plays a key strategic role in organizing and optimizing the sales department's activities. They ensure proactive management and act as a lever for efficiency by facilitating operations coordination, information management, and performance analysis. In addition to administrative responsibilities, the assistant actively supports the Vice-President in strategic planning, sales analysis, and preparing meetings with internal and external stakeholders. They ensure smooth communication and contribute to aligning commercial initiatives with the company's objectives.

Main responsibilities:

  • Strategic and analytical support
  • Prepare and analyze sales reports to identify market trends, opportunities, and challenges
  • Develop summaries and strategic recommendations to aid decision-making
  • Collaborate with sales directors to ensure consistency in monitoring objectives and performance indicators
  • Participate in developing sales growth plans and monitoring commercial initiatives
  • Coordinate and structure client meeting preparations (performance analysis, penetration strategies, follow-up on commitments)
  • Executive management and coordination
  • Manage the Vice-President's calendar and ensure optimal organization of their time based on strategic priorities
  • Plan and organize management meetings and strategic sessions (agenda, invitations, minutes, follow-up actions)
  • Manage logistics for client visits, including accommodation, transport, plant visits, presentations, and meals
  • Manage and filter electronic communications to ensure effective prioritization of requests
  • Ensure liaison between departments to facilitate the flow of essential information to the sales management
  • Administrative management and special projects
  • Supervise the smooth operation of the department, ensuring a structured and efficient environment
  • Coordinate follow-ups related to performance management and variable compensation (commissions)
  • Assist management in organizing corporate events, trade shows, and conferences in collaboration with the sales team
  • Support the HR team on internal initiatives (organizational charts, employee recognition, etc.)
  • Contribute to continuous improvement of administrative and commercial processes
