We are currently looking for an Accounting Administrative Assistant to join our team of professionals.

The Accounting Administrative Assistant will be responsible for accounting-related tasks as well as administrative duties in a small office. This role is the first point of contact for visitors, internal and external clients and is required to present professional, respectful and courteous service. This role will provide support to the Office Manager.

What you will be doing

The Administrative Assistant will:

  • Full cycle accounts payable and accounts receivable
  • Customer portal management, maintenance, and entry
  • Investigate and resolve billing discrepancies and misapplied cash transactions documenting the results of research for review
  • Review all credit balances, refunds, and adjustments, and apply adjustments and/or corrections to corporate billing records
  • Answer incoming calls and direct to the proper individual including greeting and assisting visitor to the office
  • Manage communications, including but not limited to telephone, email, general company email, faxes, mail, and inter-departmental communications
  • Data entry related clerical duties such as word processing, maintain filing and record systems, faxing, scanning, and photocopying
  • Input payments, complete cheque runs and solve any discrepancies
  • Act as the first line contact with vendors and customers regarding general inquiries, billing problems, solving discrepancies, while maintaining good relations
  • Assist with jobsite administration duties, such as timesheet completion and inventory sheet entry
  • Plan, coordinate and conduct the logistical aspects of departmental programs such as meetings, seminars, workshops, special projects, and company events
  • Building working relationships and provide administrative support to co-workers and management
  • Maintain and monitor office supply inventory levels and coffee supplies; place orders as required and maintain office equipment as necessary
  • Work accurately and quickly under pressure and time constraints as well as solving problems independently or as part of a team
  • Accurately and appropriate file correspondence, invoices, and receipts
  • Ability to attend presentations/meetings and take notes as required
  • Other duties as required
