Job summary

Convoy Finance, a US-aligned legal-tech startup, seeks an Executive Assistant to the CEO who can anticipate needs, manage the CEO's inbox and calendar across time zones, and handle travel and conference logistics with precision.

You will act as a thinking partner, draft email replies with options, coordinate with vendors and household managers, and explore automation opportunities using AI tools to improve efficiency while maintaining confidentiality.

Qualifications

Proven experience as an Executive Assistant or strong related experience with tech-savviness.
Real travel-planning chops with complex itineraries.
Sharp organizational and time-management skills with careful attention to detail.
Proactive, flexible mindset and ability to anticipate needs before they arise.
Comfort using AI tools to research and solve problems independently.

Responsibilities

Own the CEO's inbox: triage, prioritize, draft responses, and ensure timely replies.
Manage the CEO's calendar across time zones and resolve conflicts.
Coordinate end-to-end travel (flights, hotels, cars) and optimize points/rewards.
Lead conference prep and logistics for ~10–12 events yearly.
Liaise with vendors, partners, and the household manager as needed.
Handle business admin and personal logistics to keep operations running smoothly.
