Job summary

Convoy Finance seeks an Executive Assistant to the CEO to manage the inbox, calendar, travel, and conference logistics. You will act as a thinking partner, drafting responses with options and recommendations, and coordinating complex itineraries across time zones.

You will also handle vendor relations, personal logistics, and special projects, using AI tools to propose actionable insights while maintaining strict discretion.

Qualifications

• Proven experience as an Executive Assistant or strong related experience with tech-savvy approach.
• Experience in travel planning with complex itineraries and loyalty programs.
• Sharp organizational and time-management skills, with careful attention to time zones.

Responsibilities

• Own the CEO's inbox: triage, draft responses with options and recommendations.
• Manage CEO calendar across time zones with minimal friction.
• Coordinate travel: flights, hotels, cars, points optimization, and rebooking."
• Lead conference prep and logistics for ~10–12 events per year, including shipments and accommodations.
• Handle outbound logistics with vendors and conference organizers (not client-facing).
• Act as liaison between CEO and internal/external stakeholders with professionalism.
• Oversee business and personal logistics to keep life and work balanced.
• Identify repetitive tasks and help automate or systematize processes.
• Tackle special projects and research using AI to provide findings and recommendations.
• Maintain confidentiality with airtight discretion.
