Job description

The Zoo Veterinary Clinic Receptionist serves as the first point of contact for staff zoo personnel and external clients needing veterinary services. The receptionist supports smooth clinic operations by managing front desk duties handling communications scheduling appointments and ensuring accurate record keeping all while maintaining a professional animal-friendly environment.

Key Responsibilities
Client & Staff Interaction
  • Handle incoming calls and emails regarding animal care appointments emergencies and general inquiries.

  • Schedule and coordinate appointments for routine check-ups procedures and urgent care cases for zoo animals and occasionally exotic pets.

Administrative Duties
  • Maintain and update medical records appointment logs and animal care schedules.

  • Manage the reception area ensuring it is clean organized and professional at all times.

  • Handle billing invoicing and basic payment processing when required.

  • Receive and sort incoming mail deliveries and supply orders.

Clinic Operations Support
  • Communicate effectively with veterinary technicians and veterinarians to relay information about appointments or changes in schedule.

  • Assist in preparing documentation intake forms or discharge summaries as needed.

  • Monitor clinic inventory levels of front-desk supplies and place orders as required.

Confidentiality & Compliance
  • Maintain confidentiality of medical records staff information and clinic operations.

  • Adhere to clinic policies safety procedures and biosecurity protocols specific to zoo and exotic animal care.


RequirementsQualifications
Education & Experience
  • High school diploma or equivalent (required); associate degree or administrative training (preferred).

  • At least 1 year of experience in a veterinary medical or administrative role.

Skills
  • Strong verbal and written communication skills.

  • Ability to handle a multi-line phone system and appointment software (e.g. Cornerstone AviMark or zoo-specific systems).

  • Comfort and professionalism in working in an animal care environment including with exotic species.

  • Excellent organizational and multitasking abilities.

Working Conditions
  • Full-time position; availability on weekends holidays or during emergencies may be required.

  • Environment includes exposure to animals animal dander and medical-related activity.

  • Some physical activity (light lifting standing or walking short distances within the clinic or zoo campus).
