Job description

The Transport Supervisor is responsible for supervising and coordinating all healthcare transportation services, including patient transport, staff movement, and medical courier operations. The role ensures safe, timely, and compliant transport services while managing drivers, vehicles, and daily operational activities in line with UAE healthcare and transport regulations.

Responsibilities

A. Fleet & Operations Management

  • Plan and coordinate daily transport schedules for patients, staff, and medical supplies.
  • Assign vehicles and drivers based on operational needs and request priorities.
  • Monitor GPS routes, vehicle movements, and service timelines to ensure efficiency.
  • Respond promptly to urgent transport requests and coordinate emergency transportation as required.

B. Staff Supervision & Performance Management

  • Supervise transport drivers and assistants; ensure discipline, punctuality, and professionalism.
  • Provide training on patient handling, safety protocols, and customer service.
  • Prepare duty rosters and manage shift schedules to ensure optimal coverage.
  • Conduct performance evaluations and recommend training or development needs.

C. Safety, Compliance & Quality Assurance

  • Ensure all vehicles meet UAE regulatory requirements, including licensing and insurance.
  • Conduct vehicle inspections for cleanliness, safety, and required medical equipment readiness.
  • Ensure compliance with healthcare safety standards, including infection control procedures.
  • Maintain incident/accident reports and follow up on corrective actions.

D. Vehicle Maintenance Coordination

  • Schedule preventive and corrective maintenance for all fleet vehicles.
  • Coordinate with workshops, vendors, and internal departments to ensure timely repairs.
  • Maintain accurate records of maintenance, fuel usage, and vehicle downtime.
  • Ensure vehicles are stocked with necessary medical and safety equipment.

E. Administrative & Reporting Duties

  • Maintain daily trip logs, driver timesheets, and fuel consumption records.
  • Prepare monthly reports on fleet usage, cost analysis, and performance metrics.
  • Manage transport-related documentation in accordance with hospital policies and audit standards.
  • Support budgeting for transport operations (fuel, maintenance, parts, manpower).

F. Communication & Coordination

  • Liaise with clinical departments to coordinate patient transportation needs.
  • Communicate with management regarding operational issues or service disruptions.
  • Handle inquiries and complaints related to transport services professionally.
  • Identify opportunities to improve transportation efficiency and reduce operational costs.
  • Implement new processes, route optimization techniques, and service enhancements.
  • Stay updated on best practices in transport supervision and healthcare logistics.
Qualifications

Education

  • Bachelor’s degree in Logistics, Business Administration, Healthcare Management, or related field (preferred).

Experience

  • 3–5 years of experience in transportation or fleet supervision.
  • Prior experience in a healthcare or hospital environment is an advantage.
  • Strong leadership and people management skills.
  • Knowledge of UAE traffic laws and healthcare transport standards.
  • Excellent communication and customer service skills.
  • Proficiency in transport management systems, GPS monitoring tools, and MS Office.
  • Ability to work under pressure and in fast-paced environments.

Licenses / Certifications

  • Valid UAE driving license (as per vehicle category managed).
  • First Aid or Basic Life Support certification (preferred).

4. Working Conditions

  • May require shift duty, including nights, weekends, and public holidays.
  • On-call availability may be required during emergencies.
  • Frequent coordination with clinical teams and operational departments.
