Job summary

A leading fragrance manufacturer in Sharjah is looking for a Quality Control Specialist to build a quality control department. The role includes conducting sampling and testing of materials, preparing regulatory documentation, and maintaining product quality. Candidates should have a degree in chemistry or related field, with 2-3 years experience in the fragrance or chemical industry. Proficiency in MS Office and attention to detail are essential. This position is based on-site in a laboratory environment.

Job Purpose

Build a quality control department under supervision of Laboratory head/Perfumer. To assist the Quality Control and Regulatory departments in maintaining product quality, ensuring documentation accuracy, and supporting regulatory compliance. The role also involves preparing samples for evaluation, clients, and testing while ensuring consistency with company standards and safety requirements.

Key Responsibilities
Quality Control Support
  • Conduct sampling and basic testing of raw materials, intermediates, and finished products according to established QC procedures.
  • Prepare, label, and record all test and retain samples systematically.
  • Maintain QC logs and documentation (test reports, records, batch sheets, and retain records).
  • Monitor storage conditions of retained samples and ensure FIFO (First-In, First-Out) is followed.
  • Coordinate with production and warehouse teams for inspection of incoming and outgoing materials.
  • Support investigation and documentation of non-conformities, deviations, and corrective actions.
  • Prepare fragrance, oil, and product samples for client presentations, testing, and evaluation.
  • Ensure accurate measurement, labeling, and documentation of each prepared sample.
  • Maintain sample stock records, expiry tracking, and disposal logs.
  • Support the perfumer and QC team with blending, evaluation, or trial preparations as needed.
  • Follow hygiene and safety protocols during sample handling and preparation.
Regulatory & Documentation Support
  • Prepare, organize, and update regulatory documentation such as Safety Data Sheets (SDS), IFRA certificates, allergen statements, and CoA.
  • Assist in product registration, certification, and compliance submissions to authorities or clients.
  • Maintain digital and physical records of all compliance documents in an organized manner.
  • Coordinate with suppliers for updated compliance certificates and technical data sheets.
  • Support internal and external audits by providing required documentation and evidence.
  • Ensure all QC and regulatory records comply with ISO, GMP, and internal quality management systems.
General & Administrative Support
  • Ensure all materials, samples, and documents are handled confidentially and safely.
  • Maintain a clean, organized laboratory and sample preparation area along with production areas.
  • Communicate effectively with other departments (Production, Warehouse, and R&D) to support smooth operations.
  • Assist the Quality or Regulatory Manager with special projects, product testing, and documentation improvement initiatives.
Qualifications & Experience
  • Diploma or bachelor’s degree in chemistry, Chemical Engineering, or a related field.
  • 2‑3 years of experience in a fragrance, cosmetic, or chemical manufacturing company preferred.
  • Familiar with quality control testing, sample preparation, and documentation.
  • Knowledge of ISO 9001, GMP, or similar quality systems is an advantage.
  • Proficient in MS Office (Excel, Word, Outlook).
  • Strong attention to detail and accuracy.
  • Excellent organizational and record‑keeping skills.
  • Good written and verbal communication in English (Arabic is a plus).
  • Ability to work under minimal supervision and manage multiple tasks.
  • Team‑oriented with a proactive and responsible attitude.
Work Conditions

  • May require occasional extended hours during audits or product submissions.
