The Implementation Project Manager (PM) is responsible for planning, managing, and delivering global Payroll and SaaS implementation projects within agreed timelines, scope, and budget while ensuring high levels of client satisfaction. Acting as the primary liaison between clients and internal teams, the PM ensures seamless execution of Mercans services and alignment with business policies, contractual obligations, and compliance requirements.
This role is critical in a global payroll outsourcing and SaaS scale-up environment, requiring strong adaptability, operational efficiency, process optimization, and stakeholder management.
- Define project scope based on the Master Service Agreement (MSA) and prevent scope creep.
- Establish project goals, objectives, milestones, timelines, and success criteria aligned with client expectations.
- Develop and maintain detailed project plans in Monday.com, including module deployment and integration timelines.
- Ensure pre-implementation readiness by sharing scoping checklists and required documentation with clients.
- Continuously monitor project progress and adjust scope, schedule, or resources as needed.
- Develop and maintain comprehensive project documentation, including plans, scope documents, requirements, and decision logs.
- Ensure documentation follows internal standards, version control, and audit requirements.
- Establish standardized documentation templates and ensure accessibility for internal and external stakeholders.
- Support compliance audits and internal process evaluations.
- Identify, allocate, and optimize resources (people, budget, technology) across project phases.
- Define milestones and track progress against timelines and performance standards.
- Proactively identify risks and maintain a RAID log in Monday.com.
- Implement mitigation strategies, escalation procedures, and contingency plans.
- Ensure compliance with global payroll regulations, GDPR, SOC 2, and other SaaS-related standards.
- Act as the primary point of contact for clients and internal stakeholders.
- Manage client expectations regarding scope, timelines, and deliverables.
- Lead project meetings, health checks, and monthly Steering Committee (SteerCo) sessions.
- Provide regular status reports and executive-level project updates.
- Coordinate Hypercare transition and BAU handover.
- Lead operational requirements gathering using standard implementation toolkits.
- Document business requirements, identify gaps, and align with configuration teams.
- Coordinate system integrations, data dictionaries, wage type catalogs, and API / flat file interfaces.
- Manage master data migration planning, validation, reconciliation, and client sign-off.
- Oversee system integration testing and ensure documentation of results.
- Oversee all testing phases, defining methodologies, entry / exit criteria, and validation standards.
- Ensure testing results are documented and compliant with regulatory requirements.
- Develop and deliver structured client training plans, user guides, and support materials.
- Conduct go-live readiness assessments and obtain final sign-offs, including audit approval.
- Manage post-go-live Hypercare and transition to BAU teams.
- Manage change requests in line with established change management processes.
- Monitor post-implementation performance metrics and client feedback.
- Drive continuous improvement, scalability, and optimization of payroll implementation processes.
- Minimum 7 years of project management experience and 5 years in global payroll implementations.
- At least 3 years experience using payroll software; experience in payroll outsourcing or BPO preferred.
- Bachelors degree in Accounting, Finance, Business Administration, Computer Science, or related field.
- Strong understanding of accounting principles, payroll compliance, data security, and SaaS best practices.
- Knowledge of integration technologies (API, flat files).
- PMP or PRINCE2 certification preferred.
- Proficiency in Monday.com, Google Suite, and Microsoft Office (PowerPoint / Slides).
- Strong client-facing, communication, and stakeholder management skills.
- Ability to work under pressure and outside standard business hours to support global clients.
