Project Coordinator – R2E Medical Services
Position Summary
The Project Coordinator playsa central rolein supporting the planning, mobilisation, and delivery of R2E medical services in some of the world’s most challenging and conflict-affected environments. Working closely with the Project Manager, operational teams, medical staff, and external stakeholders, the Project Coordinator ensures seamless coordination oflogistics, personnel, compliance, and communication to enable safe,timely, and effective project execution. This role is critical inmaintaininghigh standardsof operational readiness, client satisfaction, and medical governance across all deployments.
Responsibilities
1. Project Planning & Mobilisation
- Support the development of project plans, mobilisation schedules, and operational timelines for deployments into remote and conflict-affected locations.
- Coordinate pre-deployment activities including staffselection, credentialing, induction, medical clearance, and travel arrangements.
- Prepare mobilisation briefs, SOPs, and documentation for personnel prior to deployment.
- Track andmonitormobilisation milestones to ensure readiness within defined contracttimeframes.
2. Operational Coordination
- Act as a central coordination point between medical teams,logistics, HR, procurement, and senior management.
- Manage daily operational updates, reporting lines, risk assessments, and situational awareness for deployed teams.
- Support the setup and maintenance of clinics, equipment inventories, medical supplies, communications assets, and support infrastructure.
- Ensure medical teams have all required tools, PPE, and resources for safe and compliant service delivery.
3. Compliance & Governance
- Ensure all operational activitiescomply withcompany policies, international medical standards, and local regulatory requirements.
- Maintainaccuraterecords relating to clinical governance, staff competencies, incident reporting, and quality assurance processes.
- Support audits, after-action reviews, and continuous improvement initiatives across field operations.
4. Stakeholder Liaison
- Liaise with clients, local authorities, UN agencies, NGOs, and security partners to support smooth project implementation.
- Assistwith the preparation of progress reports, operational dashboards, and client updates.
- Represent the company in coordination meetings asrequired.
5. Logistics & Resource Support
- Coordinate movement control, travel plans, visa processes, and in-countrylogisticsfor deployed personnel.
- Work withlogisticsteams to ensure medical kits, consumables, and equipment areprocured, shipped, and replenished as needed.
- Support emergency evacuation planning, contingency responses, and business continuity processes.
6. Personnel Support & Welfare
- Maintain regular communication with deployed medical teams to ensure welfare, safety, and ongoing support.
- Track rotations, leave schedules, and contract renewals for all project staff.
- Facilitate training, briefings, and competency updates for clinical and non-clinical personnel.
7. Reporting & Administration
- Maintainaccurate, organised project documentation, trackers, and databases.
- Prepare operational reports, incident logs, and client deliverablesin a timely manner.
- Support budget tracking, invoice preparation, and procurement activities asrequired.
Skills & Competencies
- Strong organisational and multitasking skills with high attention to detail.
- Ability to work under pressure, adapt to rapidly changing environments, and manage competing priorities.
- Excellent written and verbal communication, including cross-cultural communication.
- Understanding of medical operations, remote healthcare delivery, or humanitarian programming (preferred).
- Proficiencywith MS Office, project management tools, and reporting systems.
- Demonstrated problem-solving skills with a solutions-focused mindset.
Experience & Qualifications
- Experiencein Project Management, Health Sciences, International Development, or related field (preferred).
- Experience coordinating projects in remote, austere, or conflict-affected environments.
- Previousexposure to medical, humanitarian, military, or emergency response operations is an advantage.
- Strong operational coordination experience with multidisciplinary teams.
