Position Summary
The Programs Coordinator will support the execution and coordination of accelerator, incubator, and entrepreneurship programs at Khalifa University Enterprises Company (KUEC). This role focuses on ensuring smooth program operations, coordinating with external service providers delivering program components, and providing hands‑on support to participating startups and entrepreneurs from both within Khalifa University and the broader community.
Working alongside the Senior Community & Outreach Specialist, the Programs Coordinator will manage day‑to‑day program logistics, facilitate participant engagement, and coordinate mentors and resources to ensure program participants receive comprehensive support throughout their journey. This position reports directly to the Executive Director.
Key Responsibilities
Program Coordination & Execution
- Coordinate the execution of accelerator, incubator, workshops, hackathons, and training programs for internal (KU students and faculty) and external participants.
- Manage day‑to‑day program operations, including scheduling, logistics, venue coordination, and resource allocation.
- Ensure programs run smoothly and align with established objectives and timelines.
- Support the onboarding process for new program cohorts and participants.
External Service Provider Coordination
- Serve as a key point of contact for external companies delivering program components (curriculum delivery, workshops, training sessions).
- Coordinate workflows and schedules between KUEC and external program delivery partners.
- Monitor external provider deliverables and flag any issues or delays to the Executive Director.
- Ensure seamless integration of externally delivered content with overall program objectives.
Participant Support
- Serve as a point of contact for startups and entrepreneurs participating in KUEC programs.
- Provide operational support to participants, addressing queries and facilitating access to resources.
- Track participant progress and engagement throughout program duration.
- Collect and compile participant feedback to support program improvement efforts.
Mentor & Resource Coordination
- Coordinate mentor and advisor sessions, matching participants with appropriate expertise.
- Schedule and facilitate workshops, guest speaker sessions, and networking events.
- Maintain updated records of mentors, advisors, and available resources.
- Support the recruitment and onboarding of new mentors and advisors as needed.
Event Support
- Assist in organizing program‑related events such as demo days, pitch sessions, and graduation ceremonies.
- Coordinate event logistics including invitations, registrations, materials, and venue setup.
- Work with the Senior Community & Outreach Specialist and external partners to ensure successful event execution.
Documentation & Reporting
- Maintain accurate program records, including participant data, schedules, and milestone tracking.
- Prepare regular status updates and reports on program activities for the Executive Director.
- Document lessons learned and best practices to support continuous program improvement.
Qualifications
Required
- Bachelor's degree in Business, Project Management, Entrepreneurship, or a related field.
- Minimum of 2 years of professional experience in program coordination, project management, or event management.
- Strong organizational and time‑management skills with attention to detail.
- Ability to manage multiple tasks and priorities simultaneously.
- Excellent written and verbal communication skills in both Arabic and English.
- Proficiency in using collaboration tools (e.g., Microsoft Office, Google Workspace, project management software).
- Strong interpersonal skills and ability to work effectively with diverse stakeholders.
Preferred
- Experience in startup accelerators, incubators, or innovation/entrepreneurship programs.
- Familiarity with the UAE and regional startup ecosystem.
- Experience coordinating with external vendors or service providers.
- Knowledge of early‑stage venture challenges and startup support methodologies.
- Experience in higher education or university settings.
