Position Overview:
We are seeking a highly skilled and detail-oriented Procurement Officer to manage and optimize procurement activities across IT, facilities, logistics, marketing, and event-related services. The ideal candidate will possess strong technical knowledge of procurement processes, analytical capabilities, and excellent communication skills. This role demands agility, strategic thinking, and the ability to work in a fast-paced environment, with flexibility to work extended hours as required. A strong sense of professional ethics, confidentiality, and team collaboration is essential.
Key Responsibilities:
Strategic Procurement & Operations
- Execute procurement of IT hardware/software, facility services, marketing materials, logistics, and event-related purchases.
- Manage the end-to-end Procure-to-Pay (P2P) cycle, including requisition, purchase order creation, vendor coordination, invoice processing, and payment follow-up.
- Ensure timely and cost-effective sourcing through approved vendors and online platforms.
Technical Expertise & Analysis
- Conduct cost comparison and benchmarking across suppliers to ensure competitive pricing and value.
- Prepare and present Monthly Procurement Efficiency Reports covering KPIs such as cost savings, lead times, vendor performance, and compliance.
- Apply Total Cost of Ownership (TCO) principles to evaluate procurement decisions and long-term value.
- Drive rate standardization across commonly procured items and services.
Cross-functional Collaboration
- Liaise with internal departments including IT Shared Services, Admin, Marketing, and Event Management to understand procurement needs and priorities.
- Support urgent and ad-hoc procurement requests aligned with business goals and reporting line directives.
- Actively contribute to team discussions, planning, and shared goals.
Vendor & Contract Management
- Identify, evaluate, and onboard vendors based on quality, reliability, and cost-effectiveness.
- Negotiate contracts and Service Level Agreements (SLAs) ensuring compliance and performance.
- Monitor vendor performance and maintain strong supplier relationships.
Compliance, Ethics & Confidentiality
- Ensure all procurement activities comply with internal policies, audit requirements, HSE and regulatory standards.
- Uphold ethical procurement practices, avoiding conflicts of interest and ensuring transparency.
- Handle business-sensitive and confidential information with discretion and integrity.
Reporting & Continuous Improvement
- Generate periodic reports and dashboards for management review.
Recommend process improvements and automation opportunities to enhance procurement efficiency and accuracy.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
- 3-4 years of relevant experience in procurement, preferably in IT, facilities, and service domains in a well-known corporate companies in UAE.
- Strong knowledge of P2P cycle, TCO, cost analysis, vendor management, and procurement reporting.
- Proficient in Microsoft Excel (advanced level), MS Dynamics 365 (MSD360), and MS Office platforms.
- Excellent written and verbal communication skills in English; Hindi proficiency is a plus.
- Strong negotiation, analytical, and stakeholder engagement skills.
