Role Overview
Serve as a key operational resource for senior management—owning day‑to‑day corporate operations while coordinating HR operations, internal & external events, and corporate communications workflows. The role drives execution discipline, ensures policy and regulatory alignment, and delivers a consistent, on‑brand experience to internal stakeholders and external partners.
Key Responsibilities

Corporate Operations
- Run the daily operating rhythm for senior management: leadership calendars, operating cadences (weekly exec stand‑ups, monthly business reviews), and cross‑functional follow‑through on actions.
- Design, document, and improve core processes (SOPs) spanning facilities, office services, vendor management, and business continuity; track and report operational KPIs (e.g., SLA attainment, cycle time, cost‑to‑serve).
- Coordinate cross‑firm initiatives with Finance, Legal/Compliance, Investment Operations, and IT; escalate risks early and drive mitigations to closure.
- Ensure operational controls and records support applicable frameworks (e.g., ADGM / SCA obligations where relevant to corporate processes). (Scope aligns with Lunate’s existing operations role patterns; regulatory awareness is expected for coordination even if not a control owner.)

HR Operations
- Partner with Human Capital to execute people processes (onboarding/offboarding checklists, probation/confirmations, visa & EID touchpoints, leaves, policy acknowledgments), ensuring accuracy, timeliness, and policy compliance.
- Maintain up‑to‑date process documentation and manager toolkits; coordinate with HC on policy updates and communication cascades (e.g., leave, benefits, travel).

Events & Executive Engagement
- Plan and deliver internal and external events (town halls, client briefings, partner visits, offsites), covering budget, venues, logistics, run‑of‑show, and executive briefing packs.
- Manage guest protocols and stakeholder communications; capture outcomes and post‑event ROI (attendance, feedback, action items).

Corporate Communications
- In partnership with Corporate Communications/Brand, draft and coordinate internal announcements, leadership messages, and event collateral; ensure all outputs are on‑brand (layout, typography, tone, bilingual considerations where applicable).
- Maintain lightweight editorial calendars for internal channels (email, Teams/SharePoint) and coordinate with PR/Marketing for external moments.
Qualifications & Experience
- 5–8 years of experience in corporate operations / business operations / chief‑of‑staff support within financial services, professional services, or high‑growth environments.
- Bachelor’s degree in Business Administration, Operations/Industrial Engineering, Communications, HR or related field.
- Demonstrated experience coordinating cross‑functional programs (operations + HR + events/communications).
- Familiarity with UAE/ADGM operating context and working with policies/processes in a regulated financial services firm is advantageous.
- Strong command of Microsoft 365 (Teams, SharePoint, Excel/PowerPoint) and comfort with ticketing/workflow tools.
