Overview

The Donor Operations Manager is a detail-oriented, data-driven, and solutions-focused professional who brings both enthusiasm and strategic thinking to the role. This position oversees the operational functions of the Individual Giving team, with a focus on streamlining processes, optimizing workflows, and ensuring the efficient and effective delivery of projects at the Downtown Women’s Center. Reporting to the Director of Individual Giving, the Manager plays a key role in cultivating and stewarding donor relationships, supporting the Director of Individual Giving in the development of fundraising appeals and donor communications, and ensuring that donor information and fundraising activities are accurately tracked. Successful candidates are comfortable working with donor management systems, engaging in regular communication with donors, and crafting compelling messages and campaigns to attract, retain, and upgrade donors. The Manager will supervise the Donor Database Administrator.

Responsibilities
Administrative
  • Implement data entry standards and processes in coordination with the Finance Team, Development Team, and Donor Database Administrator.
  • Prepare regular reports on donor engagement and other fundraising activities for the Development Committee, Board of Directors, Director of Individual Giving, and Chief Development Officer.
  • Track and monitor KPI’s in partnership with the Director of Individual Giving and Chief Development Officer.
  • Track donor interactions and follow-up tasks in CRM database.
  • Build and update donor profiles.
  • Serve as lead administrator for all fundraising technology, including Bloomerang (CRM) and GiveButter (payment processor).
Donor Stewardship and Cultivation
  • Ensure that all gifts are acknowledged in a timely manner in compliance with charitable giving regulations.
  • Manage donor stewardship process from start to finish, ensuring donors receive timely and relevant communications in appreciation of their gifts.
  • Collaborate with other members of the development team to plan events, communications, and activities to thank and acknowledge donors, volunteers, and other partners.
  • Draft copy for thank you letters, social media and email, and other donor stewardship materials.
  • Host tours of the Downtown Women’s Center to deepen engagement with new and existing donors.
Annual Fund (Direct Mail, Monthly Giving, Digital Campaigns)
  • Support the Individual Giving Director in executing a strategic vision and plan for attracting new donors and retaining and upgrading existing donors.
  • Collaborate with the Communications Team to develop a calendar and strategy for creating data-driven, targeted direct mail and digital campaigns.
  • Develop and launch a strategy to grow DWC’s monthly giving program.
  • Develop and maintain prospect and outreach lists for targeted fundraising strategies.
Supervise the Donor Database Administrator
  • Delegate tasks, monitor workloads, and support team members in their professional development and growth.

Serve as a key leader on the development team by engaging in thought partnership and problem solving with the Director of Institutional Giving and Chief Development Officer.

Qualifications
  • Bachelor’s degree or equivalent work experience preferred.
  • Minimum of 3 years experience needed in fundraising, marketing, or communications. Minimum of 1 year experience supervising staff.
  • Detail-oriented, highly organized self-starter able to work independently, set and meet goals and deadlines
  • Proficient in MS Office Suite, particularly Excel
  • Experience working in a CRM; experience managing a database preferred
  • Strong quantitative skills; experience analyzing data preferred
  • Understanding of donor relations and nonprofit fundraising principles and practices
  • Experience managing donor relationships, a plus
  • Good at following systems and procedures, while also refining them to create a more efficient process
  • Strong multitasking and problem-solving skills; ability to maintain composure in a fast-paced environment.
  • Demonstrated record as a successful team player, including the ability to develop and maintain a goal-oriented, positive attitude and good sense of humor
  • Compassion and understanding of the Center’s unique approach to service provision
  • Strong work ethic.
  • Professional attitude; team- and service-oriented, friendly, and positive.
  • Cultural humility.
  • Must be a CA resident and live no more than 80 miles from DWC; must be available for in-person meetings at DWC.
  • Must provide documentation of a negative TB test result within the last twelve months, on first day of hire.
Compensation

Pay Range
$80,000-$85,000/year
