Position Summary

The Laboratory Receptionist is responsible for the accurate and efficient reception of patients, specimens, and laboratory requests. This role serves as the first point of contact for patients and clinicians, ensuring proper registration, billing, test ordering, specimen handling, and compliance with laboratory policies and confidentiality requirements. This role involves managing documentation, report printing, delivering, scheduling, follow‑ups, data entry, communication, and assisting in maintaining regulatory compliance. The Laboratory Receptionist acts as a liaison between Phlebotomist, laboratory personnel, patients/clients, billing & Insurance departments.

Summary of Main Duties
  • Actively participates in upholding and promoting the vision and culture of University Hospital-Sharjah (UHS).
  • Complies with all UHS policies and procedures and fire regulations.
  • Participates in all aspects of the International Accreditation program to assist UHS attain and maintain international accreditation standards.
  • Manage the Phlebotomy reception area.
  • Ensure the readiness of the Phlebotomy reception area for each working day and have all front desk activities fully operational at the start of business hours.
  • Answer phone calls, respond to emails, and direct inquiries to the appropriate lab personnel.
  • Schedule appointments to patients for lab testing related activities.
  • Maintain and update phlebotomy related records, databases, logs, and filing systems.
Responsibilities
  • Attend Patients and direct them to the appropriate service required.
  • Greet patients, clinicians, and visitors in a professional and courteous manner.
  • Verify patient identity using approved identifiers.
  • Provide clear instructions to patients regarding specimen collection and laboratory procedures.
  • Assist with billing documentation and insurance-related requirements when applicable, provide clerical and procedural support as needed.
  • Organize and maintain forms and office stationery required for front desk activities.
    • Assist with inventory tracking and ordering of phlebotomy supplies.
    • Support laboratory staff with administrative tasks, such as document preparation and correspondence.
    • Prepare materials for audits or inspections as needed.
  • Perform related duties as required.
Position Requirements/Qualifications
  • Preferred Diploma/Bachelor Degree, and two years of customer care experience in the Laboratory setup or an equivalent combination of education and experience.
  • Should be proficient in using Microsoft Office as they have to make spreadsheets, manage data and create documents on computers. Microsoft Excel and Word experience are a must.
  • Good knowledge of English and Arabic languages must be able to communicate in Arabic fluently.
  • Ability to type accurately and proficiently.
  • Excellent interpersonal and communication skills and telephone etiquettes are required to communicate orally in a clear, concise manner with employees, physicians, administration, the medical staff, and the public.
